When you receive an invitation to access a client’s QuickBooks Online company file, creating your new Intuit account involves more than just setting up an email and password. One common point of friction for outside bookkeepers and accountants is the prompt requesting a mobile phone number.

Why Intuit Requires a Mobile Number

Intuit requires a mobile number as part of its mandatory Multi-Factor Authentication (MFA) framework. This is a standard security measure designed to protect sensitive financial data from unauthorized access. When you log in from a new device, browser, or location, Intuit sends a verification code to your phone to confirm your identity.

While it might seem like an email verification code would be sufficient, email accounts are frequently targeted by bad actors. Text messages (SMS) provide an independent, secondary communication channel that is much harder for an attacker to intercept, ensuring that the person entering the password is actually the account owner.

What to Do If You Want to Keep Your Number Private

If you are an independent contractor or simply prefer to keep your personal mobile number off a client’s ecosystem, you have a few practical options:

  • Use a secondary number: If you already have a secondary mobile number or a dual-SIM phone, use that number exclusively for work-related verifications.
  • Consider a VoIP service: Voice-over-IP (VoIP) numbers (such as those provided by Google Voice or similar services) can often receive SMS verification codes. Setting up a dedicated VoIP number gives you a reliable way to receive MFA codes without exposing your primary cell number.

Handling the Initial Setup Prompt

In most cases, you will need to provide a valid phone number that can receive text messages to complete the initial account creation and accept the client’s invite. Once your account is fully established and you are logged into the system, you can review your Intuit account settings to see how your contact and recovery information is being used.

If you are managing multiple client QuickBooks Online environments, establishing a dedicated workflow for your login credentials and MFA methods early on will save you significant time and prevent access headaches down the road.
