Tracking Department Purchases in QuickBooks Without Slowing Down Teams
Learn how QuickBooks Classes or Locations let you tag purchases by department, cut duplicate orders, and keep approvals simple while tracking expenses.
QuickBooks offers simple ways to see who bought what and for which team without adding lengthy approval steps. By tagging each expense with a department label, you can spot duplicate buys and keep the purchasing process smooth. The following steps show how to set this up and keep it working for a busy manufacturing shop.
Set Up Classes for Each Department
Create a Class in QuickBooks for every department or team that makes purchases. Go to the Gear icon, choose All Lists, then Classes, and click New. Name each Class after the department, such as Maintenance, Production, or Office. This gives you a ready label to attach to every expense.
Use Locations as an Alternative
If you already use Classes for another purpose, you can turn on Locations instead. Enable Locations in Account and Settings, then add a location for each department. Locations work the same way as Classes for reporting, letting you filter expenses by team.
Tag Every Expense with the Right Class or Location
When entering a bill, check, or expense, select the appropriate Class or Location from the drop‑down field before saving. Encourage staff to pick the label that matches their team at the moment of entry. This habit ensures each purchase is tied to the correct department without extra paperwork.
Review Reports to Spot Duplicate Purchases
Run a Profit and Loss report filtered by Class or Location to see what each team has spent. Look for similar items appearing in multiple sections within a short period. If you notice repeats, you can quickly check inventory before approving a new order, reducing waste.
Keep Approvals Light with Quick Reminders
Instead of a formal approval workflow, set up a recurring reminder for managers to review their team’s tagged expenses weekly. A short email or chat note asking them to confirm any unusual items keeps oversight light while catching mistakes early.
Start by creating a Class for each department and train staff to select it when entering expenses. This simple tagging habit gives you clear visibility and helps prevent duplicate purchases without slowing down the team.
