The QuickBooks Skills Entry-Level Finance Jobs Now Expect
Journal entries, reconciliations, and month-end reports: the QuickBooks tasks junior finance roles list, and how to practise each one before you apply.

Entry-level finance postings have settled on a short checklist: journal entries, reconciliations, month-end reporting, and fluency in accounting software alongside Excel. QuickBooks Online shows up in that software line more often than almost anything else. If you are aiming at one of these roles, the list is less intimidating than it looks. We will break each task down, show what it involves in QuickBooks Online, and suggest ways to practise before anyone puts you on payroll.
The tasks a junior hire actually does
Strip away the bullet points and the work is consistent. You post journal entries for accruals and prepayments. You match vendor invoices to payments and chase the gaps. You work the bank feeds, reconcile accounts, and help assemble the balance sheet, income statement, and cash flow statement at month end. None of it is exotic. All of it punishes carelessness, because a misposted accrual quietly moves profit from one month into another and nobody notices until the numbers stop tying.
Double-entry mechanics carry everything
Every task above rests on the same foundation: knowing where a transaction’s debits and credits belong. Software will post whatever entry you point it at, but it will not tell you the entry was wrong. A rent prepayment is an asset until the months it covers pass, then it becomes an expense. If that logic is instinctive, the reports explain themselves. If it is not, QuickBooks becomes a black box producing numbers you cannot defend.
How do you practise before anyone hires you?
QuickBooks Online offers sample companies you can open and break without consequence. Post a full month of fictional activity: a prepayment to split, an invoice that stays unpaid, a bank feed with a duplicate to match. Then run the three core statements and check they agree with what you entered. Accounting professionals and students can sign up for QuickBooks Online Accountant at no cost. The ProAdvisor path that comes with it includes training and a certification worth a line on your CV.
What should an owner hand an intern?
Owners hiring that first pair of hands should split the list deliberately. Invoice entry, receipt filing, AP matching, and first-pass bank feed categorisation are safe to delegate. Month-end close sign-off, reconciliation approval, payroll, and anything tax-related should stay with an experienced person. Create a standard user with limited access instead of handing over admin rights, keep the audit log on so every change carries a name, and review the work weekly until accuracy is proven.
Open a sample company this week. Post ten entries covering the task types above. Then trace one figure from a report back to the entry that produced it. Repeat until the tracing feels boring. Boring is what hiring managers are actually screening for, and it is the one thing a CV cannot fake on its own.
