Recording a Down Payment for a House Purchase in QuickBooks Online
Learn how to properly record a down payment when buying a home, including setting up accounts, entering the transaction, and tracking the remaining balance in QuickBooks Online.

We help you track major purchases like a home down payment. This guide shows the steps to record the payment accurately and keep your books balanced.
Set up the necessary accounts
Begin by creating three accounts before you enter the transaction. Add a fixed asset account for the home, a liability account for the mortgage loan, and an equity or expense account to capture the down payment if your chart of accounts requires it. Naming each account clearly makes later reporting easier.
Record the down payment transaction
Choose + New, then Check or Expense. Pick the bank account from which the funds leave, enter the payment amount, and select the fixed asset account for the home as the category. Add a memo such as “Down payment on home” for reference. Save and close the transaction.
Track the remaining mortgage balance
After the down payment is recorded, create a liability account for the mortgage loan. Enter the loan amount as a credit to that liability account and offset it with the same amount as a debit to the fixed asset account, reflecting the financed portion. Set up recurring payment reminders if you plan to track each installment.
Reconcile and review
Match the transaction with your bank feed to ensure it clears correctly. Run a balance sheet report to confirm that the home asset and mortgage liability appear as expected. If anything looks off, edit the transaction or adjust the account mapping.
