When you first learn bookkeeping, most training materials assume your bank statements perfectly align with the first and last day of the month. In reality, many financial institutions issue statements on mid-month cycles, such as the 10th of one month to the 9th of the next. This can cause confusion when it comes time to reconcile your accounts in QuickBooks.

Match the Reconciliation to the Bank Statement

The most important rule of bank reconciliation is that your QuickBooks reconciliation window must exactly match your official bank statement. You should never split a single bank statement into two separate reconciliations in an attempt to force a calendar-month schedule. Doing so doubles your workload and dramatically increases the chance of introducing errors.

If your bank statement covers July 10 through August 9, you will perform one single reconciliation for that exact period.

How to Handle the Dates in QuickBooks

When you begin the reconciliation process in QuickBooks, the software prompts you to enter the statement’s beginning and ending balances, along with the ending date.

To handle a non-calendar cycle correctly:

  • Ending Date: Enter the exact final date of the bank statement cycle (e.g., August 9).
  • Beginning Balance: Ensure your beginning balance matches the starting balance listed on the bank statement. QuickBooks automatically pulls this from your previous month’s ending balance, so it should carry over seamlessly as long as your prior reconciliation was completed successfully.
  • Service Charges and Interest: If you enter bank fees or interest earned during the reconciliation screen, ensure you date them accurately based on the actual transaction date listed on the statement, rather than the last day of the cycle.

Checking Off Transactions

Once your starting and ending parameters are set to match the physical statement, simply check off the deposits and payments exactly as they appear on the bank statement. Because the reconciliation window in QuickBooks allows you to view transactions across multiple calendar months, you will easily be able to locate transactions dated July 10 through August 9 without issue.
