Rebuilding QuickBooks Online Books from Financial Statements
Learn whether you can rebuild a client's QuickBooks Online books using only P&L, balance sheet and AR reports, and what extra documents you need to start.

When a client’s prior-year QuickBooks file is locked, you may wonder if the available profit‑and‑loss statement, balance sheet and accounts‑receivable aging are enough to rebuild the books in QuickBooks Online. We find that the short answer is yes, but you need a few additional pieces to create accurate opening balances and avoid missing transactions.
Gather the necessary reports
Start with the profit‑and‑loss statement, balance sheet and accounts‑receivable aging through November 2024. Add the accounts‑payable aging, bank statements, credit‑card statements, fixed‑asset register and any loan or liability statements. A trial balance from the prior year, if available, will also help verify opening balances.
Set opening balances in QBO
Use the prior year‑end balance sheet to enter opening balances for each asset, liability and equity account. In QBO, go to the chart of accounts, select an account and choose “Edit” to input the opening balance. For equity, you can post the net income from the profit‑and‑loss statement to retained earnings and offset the remainder in opening balance equity.
Enter accounts receivable details
Take the AR aging report and create open invoices for each customer balance shown. Apply any known payments or credits if you have payment stubs or bank receipts. If payment details are missing, leave the invoices open and reconcile them later when bank statements are imported.
Enter accounts payable and other liabilities
Similarly, use the AP aging report to create open bills for each vendor balance. Enter any known bill payments or credits. Leave unpaid bills open for later reconciliation with bank feeds.
Verify equity and retained earnings
Calculate retained earnings by adding the prior year net income from the profit‑and‑loss statement to the previous retained earnings balance. Enter this figure in the retained earnings account. Ensure total equity matches the balance sheet figure after all other accounts are entered.
Run a trial balance to check
After entering all data, run a trial balance in QBO and compare it to the prior year balance sheet. Look for discrepancies in assets, liabilities or equity. Adjust any misposted amounts, then run a profit‑and‑loss report to confirm that the year‑to‑date figures align with the provided statements.
For hands on help, see our bookkeeping cleanup service. Begin by importing the trial balance into QBO and then reconcile each account against bank statements to ensure the rebuilt books are accurate and ready for ongoing use.
