Ramp Adds Direct QuickBooks Desktop Integration

Ramp's new QuickBooks Desktop integration lets finance teams sync corporate card transactions, receipts, and bill payments directly into their company file.

Ramp now connects directly with QuickBooks Desktop, closing a workflow gap for small and mid-sized businesses that manage corporate spending on the Ramp platform but keep their books on Desktop. The integration allows transaction data, receipts, and bill payments to flow between the two systems without manual export.

What the Integration Covers

The connection is built to sync Ramp card transactions and accounts payable activity straight into a QuickBooks Desktop company file. Rather than downloading CSV files or relying on a third-party middleware tool, accounting teams can push coded transactions—complete with receipt images, memos, and GL classifications—directly into their accounting software.

Why It Matters for Desktop Users

QuickBooks Online has historically enjoyed the lion’s share of modern fintech integrations. Direct connections to QuickBooks Desktop often require the QuickBooks Web Connector, which can be prone to sync errors, expired application certificates, or connection failures if the host computer goes to sleep or loses internet access. A native, supported integration from a corporate card provider reduces the friction of maintaining those indirect pipelines.

Practical Setup Considerations

Before enabling the connection, verify that your QuickBooks Desktop environment meets the integration’s hosting requirements. Direct integrations typically require that the company file be open in single-user mode during the initial authorization, and that the computer hosting the file remain accessible for scheduled syncs. If your firm operates in a multi-user environment, you will want to confirm how the sync handles competing access to the company file.

Managing Data Syncs

When mapping Ramp data to QuickBooks, ensure that your expense categories and vendor profiles in Ramp align cleanly with your existing Chart of Accounts. Properly mapping these fields on the Ramp side prevents duplicate vendors and uncategorized transactions from cluttering your register. Once the initial mapping is established, review the first few automated syncs closely to ensure expense coding and receipt attachments are landing in the correct accounts.
