As the second quarter gets underway, it is a good time to perform routine maintenance on your QuickBooks company file. Periodic checkups help catch small data inconsistencies before they grow into rebuild errors or corrupted data.

Run Verify Data

The Verify Data utility scans your company file for structural damage, list errors, and transaction inconsistencies. You can find it in QuickBooks Desktop under the File menu by selecting Utilities and then Verify Data. If the tool reports no problems, your file is in good shape and no further action is needed.

Run Rebuild Data When Needed

If Verify Data reports an issue, run the Rebuild Data utility from the same Utilities menu. Rebuild attempts to repair the damage Verify identified. QuickBooks will prompt you to create a backup before the rebuild begins, which you should allow. Once the process finishes, run Verify Data a second time to confirm the repair succeeded.

What to Do If Rebuild Fails

Rebuild Data cannot fix every type of file corruption. If you run the tool multiple times and Verify Data still reports errors — or if QuickBooks freezes, crashes, or displays a specific error code like a C-series or 6000-series error — the company file may have deeper structural damage that the built-in tools cannot resolve. In that situation, professional QuickBooks company file repair can often recover the file and restore clean data.

Back Up Your File

After your file passes Verify Data, create a fresh local backup. Store at least one copy offsite — on an external drive or in cloud storage — so you are protected against hardware failure or ransomware. A clean, verified backup is the single most useful thing you can have if a future problem appears.
