When QuickBooks refuses to process payroll, it rarely happens at a convenient time. The block can stem from a subscription billing issue, a damaged company data file, or a background sync error between QuickBooks Desktop and the payroll service. Here is a practical breakdown of why payroll gets stuck and what to do next.

Check Your Payroll Subscription Status

The most frequent reason payroll suddenly stops working is an inactive or suspended subscription. If the billing method on file expires or a payment fails, Intuit deactivates the service, which locks the payroll features.

  1. Open your company file in QuickBooks.
  2. Go to Employees, then select My Payroll Service, and click Account/Billing Information.
  3. Verify that your subscription status is Active.
  4. If the status is inactive or pending, update your payment details and allow up to a few hours for the system to reactivate the service.

Update QuickBooks to the Latest Release

Running an outdated version of QuickBooks can cause communication failures with Intuit’s payroll servers. You need the latest maintenance release to ensure your tax tables and payroll calculations are current.

  1. Close all open windows in QuickBooks.
  2. Navigate to the Help menu and select Update QuickBooks Desktop.

  2. If QuickBooks detects an issue, return to Utilities and select Rebuild Data.

  1. Ensure your computer has a stable internet connection.
  2. Temporarily disable any third-party firewall or antivirus to test if it is blocking the connection.
  3. Open Internet Explorer, clear the browser cache, and ensure the security settings are set to their default levels.
