When a QuickBooks Payroll subscription is cancelled, the associated payroll data does not disappear immediately, but access to it changes significantly. Intuit provides a grace period that allows users to view their historical information, but it comes with strict limitations.

The One-Year Read-Only Window

Following a cancellation, QuickBooks maintains your payroll data in a read-only state for exactly one year. During this period, you can log in to review past paychecks, employee details, and tax filings, but you cannot create new transactions, run new payrolls, or make edits to the existing records.

What Happens After the Year Expires

Once that one-year grace period concludes, access to the historical payroll data is completely removed. To view, pull, or interact with those records after the deadline has passed, you must resubscribe to a QuickBooks Payroll plan. Relying on the ability to resubscribe later is a risky compliance strategy, as reactivating an account solely to pull historical year-end data can be both disruptive and costly.

Practical Steps to Protect Your Records

To avoid being locked out of critical financial history, we recommend exporting your payroll reports and employee data before the cancellation takes effect, or immediately afterward while the read-only window is still active.

For QuickBooks Online users, this means downloading key year-end reports, tax worksheets, and employee lists to a secure local or cloud drive. If you use QuickBooks Desktop, ensure your company file is backed up to a safe, offline location. Because the Desktop version operates locally, your core company file remains on your machine, but the automated payroll tax table updates and live support features will be halted.

If you are migrating away from QuickBooks entirely, ensure your new platform has successfully imported all necessary historical tax data before letting your QuickBooks subscription lapse. If your company file is already too large or complex to easily back up, consider condensing the file to archive the historical payroll data safely without needing an active subscription.
