QuickBooks Online Reports Keep Defaulting to Accrual: What to Check
Changed your QuickBooks Online account to cash basis but reports still open as accrual? Here is why it happens and how to make cash basis stick on the reports you run.

If you have switched a QuickBooks Online company to the cash method, you might expect every report to follow. Many bookkeepers find that standard reports still open on the accrual basis. The setting you changed is real, but it does not control what you think it does.
Does the accounting method setting change reports?
No, not the way most people assume. The accounting method in the company’s settings affects how QuickBooks Online describes the business for tax-form purposes. It does not force every report to open on the cash basis.
Standard reports have their own basis selection. When you open one from the reports list, it tends to appear with its default setting, which is often accrual. That is why the change you made in settings appears to have no effect.
How do you make a report open on cash basis?
Open the report, find the accounting method or basis option in the report’s settings, and choose cash. Then save the report with a name of your own. A saved copy keeps the basis you picked, along with any date range and column customizations.
Run your saved versions from the saved reports area instead of the standard list. As long as you open the saved copy, it should retain the cash setting.
What about the reports you already changed?
Reports you saved after switching them to cash should stay on cash. If one reverts, recheck that you opened the saved version rather than the standard one from the main reports list. The two look similar, and it is easy to grab the wrong one.
A practical workflow for cash-basis clients
For a client whose returns are filed on the cash method, build a small set of saved cash-basis reports once: profit and loss, balance sheet, and any detail reports the preparer asks for. Keep them in a custom group so everyone on the team pulls from the same place.
That removes the guesswork. The basis lives in each saved report, not in a single global switch, so the saved set becomes your reliable source for cash-basis numbers.
