QuickBooks Online Reconciliation: Undo One Transaction or a Month

QuickBooks Online only lets accountant users undo a whole reconciliation. Here is how to unreconcile one transaction, or reset a month safely.

NEWSQUICKBOOKY

Maybe a payment cleared twice on the same statement, or a whole month reconciled against the wrong date. QuickBooks Online can undo this, but the tools sit in two different places, and the full-month reset is limited to accountant users. Here is how to handle both routes.

When an undo is the right fix

First, check that you actually need one. If the amount, date, and bank account are correct and only the category or payee is wrong, edit the transaction directly. QuickBooks warns you when you change a reconciled item, and that warning is worth respecting, but a small edit does not require pulling the reconciliation apart. Undo everything only when cleared entries do not match the bank statement: duplicates, wrong periods, or a reconciliation run against bad data.

Unreconcile a single transaction

This is the route most people need, and it works in every QuickBooks Online plan.

  1. Find the transaction in the account register or by search, and open it.
  2. Look for the reconciliation flag near the top of the form. Blank means uncleared, C means cleared, and R means reconciled.
  3. Click the flag until it turns blank, so the R disappears.
  4. Save, and confirm when QuickBooks warns you about changing a reconciled transaction.

The entry reappears as outstanding in your next reconciliation. Repeat this only for the handful of items that are wrong; unreconciling an entire statement one transaction at a time is slow and easy to get wrong.

Why is the full-month undo restricted?

Intuit limits the whole-statement undo to accountant users. The old Undo button now appears only for people signed in through QuickBooks Online Accountant, the platform accountants use to manage client books. That is why so many searches end at a video showing a control their own screen never displays: the person filming had an accountant login.

Undo a whole month from an accountant login

If you or your bookkeeper hold a QuickBooks Online Accountant seat, open the client’s books from there, pull up the account’s reconciliation history, select the statement ending date, and use the Undo control. Watch for an option that undoes back to the beginning of the account’s history; that clears every reconciliation on the account, not just one month. An ordinary administrator login cannot reach this tool.

Check these before you reset

Export the original reconciliation report to PDF or Excel first, so you keep a record of what was cleared. If a closing date password protects the books, entries dated before the close cannot change without it. And if several months need resetting, work newest to oldest, then reconcile each statement again in order.

Rebuild the month

With the statement cleared, open Reconcile, enter the same statement ending date and ending balance, and tick only the items that appear on that bank statement. When the difference reads zero, finish the reconciliation. Keep the exported report from the original run beside you; it is the fastest way to spot anything the reset missed.
