QuickBooks Enhanced Payroll Shows Inactive After a Rejected Payment

QuickBooks Desktop can report an Enhanced Payroll subscription as inactive after a rejected payment is later paid. Here is what to check first.

NEWSQUICKBOOKY

QuickBooks Desktop administrators are reporting a persistent payroll status problem. The payroll center describes an Enhanced Payroll subscription as inactive, while every other account screen shows it as active and paid. The trigger in each report is the same: a subscription payment that was rejected first and settled later.

What does the error look like?

The discrepancy is the tell. Screens outside the payroll center reflect the subscription you are paying for. The payroll center inside QuickBooks Desktop keeps the inactive flag instead. One administrator tracking the issue found the status never corrected itself, even after the payment cleared. To us that points to a syncing failure between two of the vendor’s systems, not a cancelled subscription on your side.

A stale status on the billing side

QuickBooks Desktop checks payroll entitlement against a subscription record on Intuit’s billing systems. When a payment fails, that record appears to be marked inactive. The reports suggest the record is not reliably refreshed once the rejected payment is later settled. The account portal then reads one status, the payroll center reads another, and nothing on your computer reconciles them.

Has Intuit ended Desktop license syncing?

The same report describes support advising that Desktop no longer syncs license data automatically and that the status must be corrected manually. A move to QuickBooks Online, where syncing supposedly works, was also recommended. We have seen no announcement ending Desktop entitlement sync, and one administrator’s experience is not evidence of a policy change. Treat a migration recommendation as a sales conversation rather than a diagnosis.

Steps worth taking, in order

  1. Confirm the payment actually cleared. Check with your bank or card issuer that the subscription charge settled, and note the date.
  2. Capture the account status. If the vendor’s account portal shows the subscription as active, save a copy of that view before you contact support. It is your evidence.
  3. Ask for a manual entitlement refresh. That record sits with Intuit, and we have no access to it. Request that specific fix rather than a general troubleshooting pass.
  4. Protect your pay dates. Payroll deadlines do not move for billing problems, so get the correction done before your next scheduled run.

Before you agree to switch products

A status sync defect is a poor reason to re-platform payroll. Migration changes your workflows, your reporting, and your costs, and it deserves its own evaluation on your own timeline. Deciding mid-problem, under sales pressure, is how regrettable moves happen.

Write down the case reference and what the agent changes. If the inactive flag returns after a future rejected payment, you will want the shortest possible path to the same fix.
