Which version should a small business start with?

Most new businesses start with QuickBooks Online because it runs in the browser, works on phones, and lets an accountant sign in remotely. The desktop editions still suit some businesses, especially those that need specific local processing, but the online product is where most new development happens. How do bank feeds and reconciliation work?

Bank feeds pull transactions directly from your connected accounts, which saves manual entry. Feeds are only half the job, though. Each transaction still needs a category, and each month still needs a reconciliation against the actual bank statement. Reconciling monthly is the single best habit for catching duplicates, missing entries, and fees you did not expect.

Why do the reports not match reality?

When a report disagrees with a bank balance or a tax figure, the cause is usually one of three things: unreconciled transactions, miscategorized entries, or a date range that does not cover what you think it does. Check the date filter first, since it is the cheapest fix. Then run a reconciliation report for the period in question. If those look clean, review the chart of accounts for transactions posted to the wrong category.

What should you do about backups and data safety?

With QuickBooks Online, your data lives on the vendor’s servers and is backed up for you, but that is not the same as an export you control. Set a recurring reminder to export key reports and a backup copy of your data on a schedule that matches how much entry you could afford to lose. Desktop users need explicit backups, stored somewhere other than the computer the file lives on.
