QBESync for e-Invoicing Compliance in QuickBooks Desktop

Learn how QBESync links QuickBooks Desktop to the UAE FTA EmaraTax portal, automating e‑invoice submission and keeping businesses compliant with tax rules.

NEWSQUICKBOOKY

Many businesses in the UAE need to submit e‑invoices to the FTA EmaraTax portal to meet local tax regulations. QBESync provides a bridge that lets QuickBooks Desktop users send those invoices directly from their accounting file. This guide explains how to set up the connection, submit invoices, check their status, and resolve typical issues.

Connecting QBESync to QuickBooks Desktop

First, install the QBESync connector on the workstation that hosts your QuickBooks Desktop company file. Launch the installer and follow the prompts to place the service in the Programs folder. After installation, open QBESync and choose the option to link a company file. Browse to your .qbw file, enter the administrator credentials for QuickBooks, and allow the connector to read the necessary data. The tool will create a secure link that reads customer, item, and invoice details without modifying your file.

With the QuickBooks connection established, navigate to the Settings tab in QBESync. Here you will enter the credentials supplied by the FTA for the EmaraTax portal - typically a username, password, and the endpoint URL for the e‑invoice service. Save these details and test the connection using the built‑in validation button. A successful test returns a confirmation message, indicating that QBESync can now communicate with the portal on your behalf.

Sending e-Invoices Through QBESync

To submit an invoice, open QuickBooks Desktop and create or open the sales invoice you wish to send. Ensure the invoice includes all required fields such as the buyer’s VAT number, invoice date, and line‑item details. Return to QBESync and select the “Send Pending Invoices” option. The connector scans QuickBooks for invoices marked as ready for e‑invoicing, packages them according to the FTA’s XML schema, and transmits them to the EmaraTax portal. You will see a progress bar and a log of each transmission.

Verifying Submission Status

After sending, QBESync updates each invoice with a status code returned by the portal. Open the Status tab to view a list of recent submissions, showing identifiers such as the portal receipt number, timestamp, and any error codes. A status of “Accepted” means the invoice has been successfully registered. If you see “Rejected” or “Validation Error,” click the entry to view the detailed message from the portal, which often points to missing data or formatting issues.

Troubleshooting Common Sync Issues

Common problems include authentication failures, missing VAT numbers, and XML schema mismatches. If authentication fails, double‑check the FTA credentials and ensure your internet connection allows outbound traffic to the portal’s endpoint. For missing VAT numbers, edit the customer record in QuickBooks to include the correct tax identifier before resending. XML errors usually stem from unsupported characters in item descriptions; remove special symbols and retry. The QBESync log file, located in the installation folder, records each step and can be shared with support if needed.

To begin using QBESync for e‑invoicing compliance, download the latest connector from the provider’s website, run the setup wizard, and link your QuickBooks Desktop company file. Once configured, you can send invoices directly and monitor their acceptance status within the same interface.
