Intuit Launches QuickBooks Workforce Mobile App for Employees

Intuit has launched the QuickBooks Workforce mobile app, giving employees pay stubs, tax forms, and time tracking in one place. Here is what to do next.

NEWSQUICKBOOKY

Intuit has launched the QuickBooks Workforce mobile app, a single home for the pay and time tasks employees handle on their phones. Workers can check pay stubs, find year-end tax forms, and clock in and out without logging into separate tools. The launch touches both sides of the payroll relationship, so we have broken down what it means and what to do next.

What is the QuickBooks Workforce app?

QuickBooks Workforce is Intuit’s employee-facing app. Team members sign in with the email address their employer already uses for payroll. Once inside, they can view pay stubs and tax forms as they become available. For companies that track hours in QuickBooks, the app also serves as a time clock, so one login covers both pay and time.

Who does the launch affect?

Two groups feel the change most. Employees of businesses that run payroll through QuickBooks can answer their own pay questions in the app. Employers, in turn, field fewer routine requests for stubs and hour totals. Teams that track time in QuickBooks gain the most, since one app now covers both the clock and the paycheck.

Getting employees set up

The app is available in the Apple App Store and on Google Play. Employees sign in with the email address tied to their payroll invites, creating an Intuit account with that same address if prompted. When an invite never arrives, an outdated email in the payroll record is the usual culprit. Ask your employer to correct the address and resend, and access should follow.

Before you roll the app out

Employers have a short checklist. Confirm every team member’s email address in your payroll records first. Send the invites, then tell staff plainly which app to install and what it replaces. A ten-minute walkthrough at a team meeting prevents a week of repeated questions. If your crew is moving off an older time app, note where historical hours live so nobody loses sight of past records.

If a bigger change sits behind your rollout, such as moving between QuickBooks products, our conversion team can carry payroll and time history across intact. Start with the email audit, though. It takes minutes, and it unblocks everything that follows.
