How to Use the Invoice Profitability Report in QuickBooks Desktop

QuickBooks Desktop users often need to see how much profit each invoice contributes to a job. The Invoice Profitability report pulls together amounts billed, costs entered, and any markup applied. It helps you spot jobs that are on track or those that need a closer look. We created this overview to show you how to locate, read, and use the report effectively.
Running the Invoice Profitability Report
Open the Reports menu at the top of the screen. Choose Jobs, Time & Mileage, then click Invoice Profitability. In the window that appears, set the date range you want to review. Use the Customer:Job drop-down to pick a specific customer or job, or leave it blank to see all. Press OK to generate the report.
Understanding the Report Data
The report lists each invoice within the selected range. Columns show the invoice number, date, total billed amount, total cost entered for that invoice, and the resulting profit. A markup percentage column compares profit to cost, helping you see the margin on each sale.
Tips for Accurate Reporting
Enter all job costs through the Write Checks, Enter Bills, or Expense screens so they attach to the invoice. Verify that the invoice date falls inside the report period before you run it. If you add new costs after running the report, click Refresh to update the numbers. Use the Customer:Job filter to focus on one project at a time. Export the report to Excel if you need to sort or chart the data further.
Run the report for your most recent job, compare the profit shown to your original estimate, and note any differences to adjust future pricing or cost tracking.
