How to Update QuickBooks Desktop Payroll Tax Tables

A plain guide to updating payroll tax tables in QuickBooks Desktop, checking your tax table version, and fixing stalled or failed updates.

How to Update QuickBooks Desktop Payroll Tax Tables

QuickBooks Desktop works out withholding from a set of payroll tax tables stored on your computer. When tax agencies change rates, that stored copy has to change too. This guide covers the update steps, how to confirm your version, and what to do when a payroll update stalls.

What are payroll tax tables?

The tables hold the rates behind every paycheck: federal income tax withholding, Social Security, Medicare, and the state and local rates the product supports. QuickBooks Desktop keeps its copy locally, so nothing changes until an update arrives. Stale tables produce wrong withholding, and that error flows into paychecks, quarterly filings, and year-end forms.

Does QuickBooks Online need tax table updates?

No. QuickBooks Online runs payroll on Intuit’s servers, and Intuit maintains the rates there. As long as your subscription is active, new rates apply automatically, with nothing to download or install. The manual steps in this guide matter only for QuickBooks Desktop, and the menus below describe the Windows edition.

How do you update tax tables in QuickBooks Desktop?

Two things must be true before an update can land: an active payroll subscription and a working internet connection. Install the current QuickBooks release first from the Help menu, since very old releases can fail mid-update. Then:

  1. Open your company file and sign in.
  2. From the Employees menu, choose Get Payroll Updates.
  3. Select the option to download the entire update, then choose Update. The full download is slower, but it replaces every table rather than only the changed items.
  4. Wait for the completion message, then close and reopen QuickBooks if prompted.

The same window offers automatic downloads. Turn that on and QuickBooks fetches new tables in the background whenever it opens with an internet connection. We suggest automatic for most offices, plus one manual full download once year-end rate changes arrive.

Which tax table version do you have?

Press F2 anywhere in QuickBooks Desktop. The Product Information window lists your payroll tax table version alongside the program release and license details. After an update, reopen this window and confirm the version moved. If it stayed the same, the download did not complete, and the fixes below apply.

Why do payroll updates fail or stall?

Four causes cover most failures: no internet connection, a firewall or security program blocking QuickBooks, an expired payroll subscription, or a release too old for current updates.

Work through them in order. Confirm the connection, let QuickBooks through the firewall, check your payroll subscription in your own Intuit account, and update the program itself. A restart between steps clears stuck download sessions surprisingly often, and running QuickBooks as a Windows administrator helps when permission errors appear.

Should you update on a schedule?

Agencies do not move in lockstep. Federal tables change each January, and states adjust rates and wage bases on their own calendars, sometimes mid-year. Automatic downloads handle the routine cases. As a habit, press F2 before the first payroll run of a new year, and again after any state rate notice, to confirm the version is current.

Two minutes of checking now costs far less than a batch of corrected paychecks later. Open your company file today, note the tax table version, and run a full update if anything looks stale.
