How to Track and Collect Unpaid QuickBooks Invoices

Unpaid client invoices strain cash flow. Here is how to use QuickBooks reminders, aging reports, and automated follow-ups to recover outstanding payments systematically.

When a client fails to pay an invoice, it directly impacts your cash flow and complicates your bookkeeping. While you cannot force a customer to pay, you can use QuickBooks to systematize your collections process, making it easier to track outstanding balances and follow up at the right time.

Identify What Is Owed

Before reaching out to a client, you need an accurate picture of your outstanding receivables. In QuickBooks, the Accounts Receivable Aging Detail report is the most effective tool for this. It groups unpaid invoices by how long they have been overdue—typically in 30-day buckets. Running this report allows you to prioritize your efforts, focusing first on the invoices that are significantly past due rather than those just a few days late.

Automate Payment Reminders

Manual follow-ups are easy to forget. QuickBooks Online allows you to set up automatic payment reminders that send pre-written email messages to your customers based on invoice due dates. You can schedule reminders to go out a set number of days before an invoice is due, on the due date itself, and a specified number of days after the invoice becomes past due. Once configured, QuickBooks handles the scheduling, though you retain the ability to review the reminders before they are sent.

Add Late Payment Fees

If your client agreements stipulate late fees, you can apply them directly within QuickBooks. Rather than creating an entirely new invoice from scratch, you can assess finance charges on overdue balances based on your specific terms. This formalizes the penalty for late payment and often prompts clients to settle their outstanding balances quickly to stop the fees from accumulating.

Simplify the Payment Process

Friction in the payment process is a common reason for delayed payments. If a client has to print an invoice, write a check, find an envelope, and mail it, the task tends to get postponed. Adding a “Pay Now” button to your digital invoices allows customers to pay instantly via credit card or bank transfer. When the payment process takes seconds directly from the invoice email, clients are more likely to pay immediately upon receiving a reminder.

Write Off Uncollectible Invoices

Sometimes, despite your best efforts, an invoice becomes completely uncollectible. If a client goes out of business or simply refuses to pay after extended collections efforts, you need to remove the balance from your Accounts Receivable without distorting your actual sales figures. QuickBooks allows you to write off bad debt by creating a bad debt expense account and applying a credit memo to the unpaid invoice, clearing the receivable off your books while accurately reflecting the financial loss.
