Running bookkeeping or accounting work without a document system turns into chaos fast. Here is how we recommend structuring client document collection so nothing gets lost in the shuffle.

Use a Single Collection Point

The biggest mistake is allowing clients to send documents through multiple channels. If you accept files via email, text messages, and messaging apps, you will inevitably lose track of something. Pick one central destination — a shared cloud drive or a dedicated document portal — and require all clients to use it. When everything lives in one place, you stop hunting through your inbox and start working.

Build a Standard Folder Structure

Create a consistent hierarchy for every client so your brain never has to switch contexts. A practical setup looks like this:

  • Client Name (root folder)
    • Sales (invoices, receipts of sale)
    • Suppliers / Vendors (bills, purchase receipts)
    • Bank & Credit Card Statements
    • Tax Documents (CRA, IRS, year-end forms)
    • Payroll
      • Inside each category, create a folder for each month.

This structure makes it immediately obvious when something is missing. If the August folder under Bank Statements is empty, you know exactly what to request.

Track Missing Attachments in QuickBooks

QuickBooks Online lets you sort transactions by whether they have an attachment attached. Use this to your advantage. Once a week, filter your transaction list for entries lacking a supporting document. Export or screenshot that list and send it to the client as a friendly reminder of what they still need to provide.

Define the Boundary

Your job is to categorize transactions, reconcile accounts, and keep the books accurate. It is the client’s responsibility to maintain their own compliance and provide the documentation you need to do your job. Setting up a clear, single-point system from day one establishes that boundary. When the system is easy to use, clients have no excuse for falling behind.
