How Square Card Transactions Appear in QuickBooks Online

When connecting a client’s Square point-of-sale system to QuickBooks Online, the way transactions flow into the banking feed can look different depending on when the integration was set up and how the accounts are mapped. It is common for the current interface to look different from older tutorial videos, as the connector is frequently updated.

Individual Sales vs. Payouts

When using the native QuickBooks Online connector, Square typically groups daily sales into a single summary rather than importing every individual transaction. You will generally see a daily sales receipt that represents the total card volume processed, followed by a separate transaction for the Square processing fees.

The actual deposit hitting your client’s checking account is the Square Payout. The system is designed to match the gross daily sales and the fee deductions against the net payout transfer.

Where to Find the Transactions

If you are looking for individual sales receipts, they are usually generated behind the scenes and grouped into the daily summary. To see the breakdown of what is included in a specific deposit, you generally need to open the Square Payout transaction.

By expanding the payout—often located in the For Review tab under your bank feed or within the integration’s specific transaction list—you can view the included gross sales and the associated merchant fees that make up that specific transfer.

Handling Discrepancies in the Feed

If your feed only shows lump-sum payouts without the detailed sales and fee splits, or if transactions are not matching up cleanly, the app settings may need to be adjusted. Reviewing the mapping configuration within the Square connector app can help ensure that sales, fees, and deposits are posting to the correct accounts.
