Fix a Beginning Balance Mismatch in QuickBooks Online Reconciliation

A mismatched beginning balance in QuickBooks Online usually means a cleared transaction changed after the last reconcile. Learn how to trace and fix it.

Fix a Beginning Balance Mismatch in QuickBooks Online Reconciliation

You open the reconciliation screen in QuickBooks Online and the numbers refuse to line up. The beginning balance no longer equals the ending balance of your last reconciliation, and the software says as much. This is one of the most common reconciliation complaints we hear about, and it is nearly always fixable without redoing years of work.

Why does the beginning balance stop matching?

The beginning balance is not a figure you type in. QuickBooks Online calculates it from every transaction cleared through the end of the last reconciliation. When that balance shifts, something behind it changed: a reconciled transaction was edited, deleted, voided, or marked unreconciled after the period closed. The warning usually includes the exact dollar amount of the difference. Write that number down before anything else, because it is your best clue.

The changes that usually cause it

A short list of edits accounts for most mismatches:

  • A reconciled transaction was edited after the period closed, changing its amount, date, or account.
  • A reconciled transaction was deleted or voided outright.
  • Bank feed items were accepted with dates inside an already reconciled month.
  • Someone toggled status marks directly in the register, outside the reconciliation screen.
  • The account’s opening balance entry was altered.

How do you find the changed transaction?

Start with the audit log. Open it from the settings gear, set the date range from the last reconciliation forward, and look for edited or deleted entries that touch the account in question. Deleted transactions appear there with who removed them and when. Keep the prior statement report open beside it. You can pull it from the reconciliation history for the account, and it lists everything that cleared that month.

Let the difference guide you. If the gap equals one transaction’s value, look for that exact figure in the log. A gap equal to twice a transaction’s amount often means its direction changed, say from a deposit to a payment. Two smaller gaps usually mean two separate edits rather than one big one.

Fixing the mismatch once you find it

  • If something was edited, put it back the way it was. Restore the original amount, date, and account, and the calculated balance rights itself.
  • If something was deleted, re-enter it exactly as it appeared on the bank statement, then reconcile it with the current period so the history stays intact.
  • If a bank feed item landed in a closed period, delete it if it duplicates something already cleared. Otherwise leave it for the current reconciliation.
  • If someone marked items by hand in the register, clear those marks and let the reconciliation screen do the work.

Should you let QuickBooks Online add an adjustment?

When you finish with a remaining difference, the software offers to add an adjusting transaction that forces the balance to zero. That adjustment is a real entry in your books. It hides the cause rather than fixing it, and it compounds the confusion next month. We treat forcing an adjustment as a last resort, reserved for small, explainable items the bank genuinely imposed.

Starting over when the trail runs cold

Sometimes the edits are too tangled to unwind one by one. The clean path is to unreconcile back to the last month you trust and redo each period against its statement. Undoing a full reconciliation in bulk is an accountant tool in QuickBooks Online Accountant. Without it, an admin can reset status marks one transaction at a time in the register. Either way, keep the statements on hand, because every period gets redone against paper, not memory.

If the numbers still will not add up

On rare occasions the audit log shows no edit at all and the difference persists anyway. That points to damaged reconciliation data rather than user error, and no amount of redoing periods will clear it. That is work we do directly: our QuickBooks error code repair service handles corrupted reconciliation and account data and can restore a clean starting point. Fix the cause first, and the beginning balance takes care of itself.
