Duplicate Deposits in QuickBooks Online: How to Find and Remove Them

Duplicate deposits in QuickBooks Online bank feeds can inflate income and skew reports. Learn how to confirm the pattern safely and clean up entries without checking every single transaction by hand.

Duplicate Deposits in QuickBooks Online: How to Find and Remove Them

A common setup causes the same money to land in a bank account twice inside QuickBooks Online. The business records a sales receipt for each sale, which posts income. The bank feed then imports the deposit for those same sales as a separate transaction, posting income again. The result is two entries for one payment.

This pattern shows up most often when sales receipts and bank deposits are both left to feed into the same account without one side being matched or excluded. The books look correct at a glance, but the income line is doubled.

Why spot-checking a few entries is risky

It is tempting to check two or three transactions, see the same duplication, and assume the rest follow the same pattern. That assumption can cost you. Some sales may have been recorded differently. A few deposits might belong to a different income source. Others may have already been matched correctly.

If you run a bulk reclass on the whole batch without confirming the pattern holds, you can remove entries that were not actually duplicates. That creates a new problem: missing income that was only recorded once.

A safer way to confirm the pattern

Instead of opening every sales receipt one by one, use the bank feed filter to narrow the work. Sort the For Review tab by date range and look for pairs where the deposit amount matches a sales receipt amount on the same day. Export that filtered list to a spreadsheet if the volume is high. Compare the two columns side by side.

This approach lets you see the whole picture at once. You can spot exceptions quickly: deposits with no matching receipt, or receipts with no matching deposit. Once the pattern is clear across the full date range, you can act on the batch with confidence.

Cleaning up with the bulk reclass tool

QuickBooks Online includes a bulk reclass tool that lets you select multiple transactions and move them in one action. After you have confirmed which entries are duplicates, select the bank feed side of each pair and reclassify them to the correct account. Leave the sales receipt entries untouched, since those represent the actual income.

Work in small batches at first. Process a week or a month, then run a quick report to confirm income looks right before moving to the next batch. This keeps any mistake contained and easy to reverse.

What to watch after cleanup

Once the duplicates are removed, keep an eye on the bank feed for the next few weeks. New deposits should match existing sales receipts or invoices without creating a second income entry. If the duplication returns, the underlying setup needs attention: either stop recording sales receipts for payments that arrive as deposits, or adjust how the bank feed handles those transactions.

The goal is a feed where each dollar of income appears exactly once, whether it arrives as a sales receipt or as a bank deposit.
