Description missing from new QuickBooks Online rule creation

Learn why the Description field is unavailable when creating new bank rules in QuickBooks Online, what still works, and how to adjust your workflow.

Description missing from new QuickBooks Online rule creation

Users who create bank rules in QuickBooks Online have noticed that the Description option no longer appears in the drop‑down list for new rules. Existing rules that were built with Description still show the choice, but you cannot add a new rule that scans the transaction description.

Changes to the Description option

Intuit has removed the Description field from the rule creation screen for new bank rules.
The change appears to be part of a broader update to the rule builder interface.

Working around the missing Description field

You can still base a rule on Bank Text, Amount, or the Memo field.
If you need to match on words that used to appear in the Description, try copying those words into the Memo column before importing or after the transaction downloads.
Test the rule with a few sample transactions to confirm it categorizes correctly before applying it to your entire feed.

Editing existing rules that still use Description

Existing rules that already use Description remain editable and will continue to run as before.
You can open such a rule, adjust its conditions, or duplicate it to create a version that uses Bank Text instead.
If you rely heavily on Description matching, consider adding a temporary step that populates the Memo field with the same text during your bank feed upload.

Next steps to try

Create a test rule using Bank Text on a small batch of transactions to verify the outcome.
If the test works, apply the same logic to your regular rule set and monitor the results for a few days.
