Clearing an Old Negative Balance on a QuickBooks Credit Card
Learn how to locate and correct a longstanding negative balance on a business credit card in QuickBooks, using safe journal entries and reconciliation.

A negative posted balance on a credit card account can linger for years if duplicate payments are recorded or if a payment is entered twice. This situation often appears after a user deletes a bank account instead of deactivating it, leaving stray transactions in the register. The following steps show how to locate the source of the old negative amount and bring the balance back to zero using QuickBooks tools.
Understanding the negative balance
A negative balance means the total credits exceed the debits in the account register. Common causes include entering the same payment twice, recording a refund as a payment, or leaving a transaction from a deleted bank account unadjusted. Recognizing the pattern helps you decide whether to delete a duplicate or create an offsetting entry.
Steps to clear the old negative balance
- Open the register for the credit card account from the Chart of Accounts.
- Scan the list for two transactions with the same amount and close dates; these often appear as duplicate payments.
- If you find a duplicate, open the transaction and select Delete or Void.
- If both transactions must stay for audit reasons, create a journal entry: debit the credit card account and credit an offset account such as Opening Balance Equity for the amount of the negative balance.
- Save the journal entry and close the window.
- Begin a reconciliation for the credit card account and mark the corrected or journal entry as cleared.
Verifying the fix
After completing the steps, check the register again; the balance should read zero. Run a reconciliation report to confirm that all cleared transactions match your statement. Review the Balance Sheet to ensure the credit card account now shows a correct zero balance and that no unexpected changes appear in other accounts.
