ApprovalMax Pay Now Available for US QuickBooks Online Users
ApprovalMax has extended ApprovalMax Pay to QuickBooks Online users in the United States. Here is what the payment feature does and who it suits.

ApprovalMax has made ApprovalMax Pay, its built-in payment feature, available to QuickBooks Online users in the United States. For teams that already approve bills through the platform, this closes the gap between sign-off and payment. We are independent of both ApprovalMax and Intuit, so here is a plain look at what changed and who it suits.
What does ApprovalMax Pay do?
The platform sits alongside QuickBooks Online and moves bill and purchase approvals out of email threads and spreadsheets. Documents travel through an approval matrix, and only approved items post to the accounting file. ApprovalMax Pay extends that chain to the payment itself. Once a bill has cleared every approver, the payment can be released from the same platform, so the request, the approvals, and the payment stay on one record.
The case for paying where you approve
Most teams that install approval software do it to separate duties. One person raises a bill, others check it, and someone else releases the cash. When approval lives in one tool and payment in another, somebody usually re-enters details or exports a payment file, and that manual step is where duplicates and errors creep in. Paying inside the approval platform removes the handoff and keeps a full audit trail: who requested, who approved, who paid, and when.
Who benefits most
The clearest fit is a business where several people sign off spend and approvers are not always in the same office. Bookkeepers and accountants who manage approvals across multiple client files also get a single place to run the process. If you run a two-person company and approve everything yourself, the extra layer may be more than you need.
What should you check before you switch?
Availability and pricing for ApprovalMax Pay sit with ApprovalMax, not with Intuit, so confirm both for your own organization before you commit. Connect the correct QuickBooks Online company file, and rebuild the approval matrix so it matches how your business actually signs off spend. Plan the funding side as well, because real money is leaving a real account. We would run the first cycle on a small batch of low-risk bills before moving the full payment run across.
If you already run ApprovalMax
Map your current chain on paper first: who raises a bill, who checks it, who approves it, and who releases payment. Rebuild exactly that chain in the platform, then pay one small batch end to end before you move real spend. If the pilot clears without surprises, extend it to the full bill load.
