Applying Payments in QBO When Remittance Is Delayed

Learn how to record payments in QuickBooks Online before the remittance arrives, match them to open invoices later, and keep your AR accurate.

Applying Payments in QBO When Remittance Is Delayed

When a customer sends an ACH or wire that covers several invoices, the funds often appear in your bank feed before the remittance details arrive. This leaves the payment recorded in QuickBooks Online but not yet applied to the specific invoices.

Payment timing challenges

Remittance information can arrive separately by email or PDF, sometimes days after the payment clears. Until you receive that detail you know the amount was received but you do not know which invoices it should cover. This gap creates a manual step if you wait to apply the payment until the remittance is in hand.

Recording the incoming payment

When the payment shows in your bank feed, you can record it without waiting for the remittance. One approach is to categorize the transaction to Undeposited Funds. This keeps the money in a holding account until you are ready to apply it. Alternatively, you can open the Receive Payment screen, select the customer, and leave the payment amount unapplied while you wait for the remittance. In either case, add a memo note such as “awaiting remittance” so the transaction is easy to find later.

Matching payment to invoices

Once the remittance arrives, open the Receive Payment screen for the same customer. Choose the payment you previously recorded (it will appear under Outstanding Transactions). Then select the open invoices that the remittance specifies. QuickBooks will apply the payment amount across those invoices and update their status to paid. If you used Undeposited Funds, first transfer the funds to the correct bank account, then follow the same Receive Payment steps. You can also use the Find match feature on the bank feed to link the payment to the invoices after you have entered them.

Reducing manual effort

To lessen the repeated work, create a bank rule that automatically sends incoming ACH or wire payments to Undeposited Funds and adds a memo flag. Set a recurring calendar reminder to review the Undeposited Funds account weekly, match any waiting payments to invoices as soon as the remittance is received, and clear the holding account. Some third‑party apps that sync with QBO offer automatic invoice matching when they receive the remittance file, but the built‑in workflow described above works without extra software.

Next steps to try

Start by setting up a bank rule to categorize incoming ACH payments to Undeposited Funds with a memo note, then schedule a weekly review to match those payments to invoices using the Receive Payment screen. This keeps your accounts receivable up to date without waiting for the remittance to arrive each time.
