QuickBooks auto-fills most of Wyoming's Quarterly UI Summary Report, but the state's unusual formatting rules trip up users who try to edit amounts manually.

QuickBooks Desktop handles most of the heavy lifting for Wyoming’s Quarterly Unemployment Insurance Summary Report — Form WYO058 — but the state’s idiosyncratic formatting requirements have caught users off guard when they attempt to review or manually adjust the form before filing.

What the Form Covers

Form WYO058 is the quarterly summary that Wyoming employers submit to report total wages, calculate unemployment insurance tax liability, and remit payment to the state. The filing deadline falls on the last day of the month following the close of each quarter — consistent with UI deadlines in most states.

QuickBooks is designed to prefill the majority of fields automatically, pulling from existing company, payroll, and employee data already entered throughout the quarter. In a typical scenario where records are complete and up to date, the software calculates wage totals, excess wages, the contribution rate, and the base tax due without requiring manual entry.

The Formatting Catch

Wyoming requires a specific, nonstandard format for monetary amounts on this form. Rather than using a conventional decimal point, dollar-and-cents amounts must be formatted with a space in place of the decimal separator.

QuickBooks manages this conversion internally. The key detail users have stumbled over: when manual entry or editing is necessary, amounts should be typed in the space to the left of the line numbers on the form. The program then reformats the entered figure to match Wyoming’s required layout. Attempting to manually insert the space or otherwise match the state’s format by hand is unnecessary and can produce unexpected results.

Which Lines Are Automatic — and Which Are Not

Most lines on Form WYO058 are computed directly from payroll data already in the company file:

  • Line 1 (Total UI wages): Automatically calculated. This figure should match the grand total wages reported across all pages of Form WYO078.
  • Line 2 (Excess wages): The program determines each employee’s wages that exceed the annual taxable wage limit and populates this line accordingly.
  • Line 4 (Contribution rate and tax due): The assigned contribution rate appears here, and the program multiplies taxable wages by that rate to calculate the tax due.

The lines that most commonly require manual input are Lines 5, 6, and 7 — figures that QuickBooks cannot derive from internal payroll data because they originate from the state:

  • Line 5 (Interest due): Wyoming assesses interest at 2% per month on unpaid contributions, accruing from the day after the deadline. Employers who missed the filing date must calculate and enter this amount themselves.
  • Line 6 (Prior-period balance due): Any outstanding UI liability carried over from earlier quarters — including tax, interest, service charges, or court costs — goes here. The state notifies employers of this figure on a monthly Statement of Accounts.
  • Line 7 (Outstanding UI credit): If the employer is owed a credit, that amount is entered on this line. The state reports this figure quarterly, also via the Statement of Accounts.

Line 8 (Total amount due) is then calculated automatically by adding Lines 4, 5, and 6, then subtracting Line 7.

Employee Count and Final Details

The form also requires a count of all workers who worked during, or received pay subject to UI wages in, the payroll period that includes the 12th of the month. Employees are counted here even if their earnings exceeded the taxable wage limit for the year. If no employees were reportable in a given month, QuickBooks prints a zero in that field rather than leaving it blank.

Line 9 simply carries the total from Line 8 and represents the payment amount to remit with the filing.

The report must be signed by the employer or an authorized representative before submission.

The Practical Takeaway

For employers with clean, complete payroll data in QuickBooks, Form WYO058 is largely a review-and-file exercise. The main points of friction are the three lines tied to state-issued statements — interest, prior balances, and credits — and the temptation to manually adjust formatting that the software already handles. Entering amounts in the designated space to the left of the line numbers and letting QuickBooks perform the conversion is the approach the accepted solution describes.
