Wisconsin UCT-101 Quarterly Contribution Report in QuickBooks
QuickBooks prefills most fields on Wisconsin's UCT-101 quarterly unemployment filing, but several fields require manual review before submission.
QuickBooks Desktop handles Wisconsin’s Form UCT-101 — the Quarterly Contribution Report — by prefilling most of the data from existing payroll records. The form, filed alongside the Quarterly Wage Report (UC-7823), is required from all employers covered under Wisconsin’s Unemployment Insurance Law. In most cases, if all company, payroll, and employee data has been entered correctly into QuickBooks throughout the quarter, the software populates the form automatically and no additional manual entry is needed. Users should, however, review every field the software did not fill in.
Electronic Filing Threshold
Wisconsin requires employers who report 25 or more employees in a filing period to submit contribution and wage reports electronically. Penalties may apply to employers who meet that threshold but fail to file electronically. QuickBooks users who fall into this category should confirm their filing method before submitting.
Employer Information Fields
QuickBooks pulls federal employer identification number, phone number, and legal name and address from company records. If any of that information has changed since the last filing, the employer must complete Form UCT-6491 — Account Change Information — and return it with the report rather than simply updating the on-screen fields.
The form also includes an Internet Access Number, an eight-character identifier assigned by the Wisconsin Department of Workforce Development. This number appears on the preprinted UCT-101 that the DWD mails to employers and is required the first time an employer uses the state’s online Tax and Wage Reporting System. A separate Account Number field exists on the form but does not currently require an entry; Wisconsin added it for future use.
Monthly Employment Data
QuickBooks automatically enters each month of the quarter along with the count of employees who worked on the 12th of each month. If there was no employment during a given payroll period in that period, the software enters zero. Users should verify these counts against their own records, since the number of employees on the 12th is what the state uses for its monthly employment figures.
Calculated Fields and Totals
Several lines on the UCT-101 are derived from payroll data already in QuickBooks:
- Total covered wages (Line 9) reflects all wages subject to Wisconsin unemployment insurance law for the quarter.
- Taxable payroll (Line 11) represents wages subject to the UI tax rate after applying the state’s taxable wage base.
- Wage exclusion (Line 10) is the difference between total covered wages and taxable payroll — essentially, the portion of wages that exceeds the taxable limit.
Reviewing these three lines together helps confirm that the wage figures flow correctly from employee earnings into the unemployment calculation.
Interest and Penalties
Monthly interest accrues on past-due unemployment insurance taxes, and the rate can change annually. QuickBooks calculates interest based on the dates and amounts in the payroll data, but users who have outstanding balances from prior quarters should verify the applied rate.
The late filing penalty structure for the accompanying Wage Report (UC-7823) follows a tiered schedule: filing within 30 days of the due date carries a $50 late fee, and filing more than 30 days late incurs a higher penalty. These amounts are set by the state, not by QuickBooks, and apply regardless of how the form is prepared.
Reviewing and Saving the Form
Before submitting, users can check where specific numbers originated by using the in-product help links available directly on the form window. QuickBooks also offers options to summarize payroll data in a spreadsheet for independent review and to save a copy of the completed form as a PDF for the employer’s records. Saving a PDF copy is recommended before filing, since it preserves a snapshot of exactly what was submitted.
