Wiping QuickBooks Online Company Data and Starting Over

QuickBooks Online users can wipe a company's data within 60 days or cancel and rebuild; here is what the purge deletes and what it leaves running.

QuickBooks Online users who want to erase a company and begin again face a timing problem. A company inside its first 60 days can be wiped in place with a built-in tool. Anything older calls for a harder reset: cancel the subscription, sign up again, and rebuild from nothing. The wipe takes minutes. The rebuild takes longer. And the small print around billing and bank feeds is where people get caught.

Two routes to a clean slate

Intuit supports two fresh starts, and the right one depends on how old the company is and which plan you hold. While the company is still young, the wipe tool clears its data and lets you keep the same company shell. Once the 60-day mark has passed, that tool is off the table, and the accepted route becomes cancellation and a brand-new sign-up.

Wiping a young company, step by step

You must be signed in as an admin, and you must be in the company you actually mean to purge. The tool acts on whichever company is open, so read the company name on screen before anything else. Then:

  1. Open the dedicated purge page Intuit maintains for this purpose, in your browser, while still signed in.
  2. Type YES into the confirmation field to state that you want all company data deleted, then select OK.
  3. Choose your industry from the dropdown menu.
  4. Leave “Create accounts based on my industry” selected so QuickBooks seeds a chart of accounts suited to your line of work. Pick the empty option only if your accountant has told you to.
  5. Select Wipe Data.

The YES prompt is the checkpoint. Pass it only when you are certain the right company is open.

Older companies: cancel, then rebuild

For a company past its first two months, the working method is blunter. Cancel your QuickBooks Online subscription, then sign up again for a new company. You can reuse the same user ID and password, so your login stays familiar, but the company itself is new and empty. If you run QuickBooks Workforce or QuickBooks Desktop Payroll, cancel the payroll subscription separately; the main cancellation does not sweep it up. And if the new company needs payroll, add it during sign-up rather than afterward, because the option appears early in the sign-up flow.

The wipe does not cancel subscriptions or spare your connections

Purging data is not the same as closing an account. Your QuickBooks subscription, and any payroll subscription tied to it, keep billing until you cancel them on their own terms. That single gap is the most expensive surprise users report.

Bank feeds are the second hazard. The purge can permanently damage connections to your bank and to third-party apps, so expect to rebuild those links from scratch afterward. Data imported from QuickBooks Time is wiped along with everything else. The wipe is also company-scoped: it deletes data only for the specific QuickBooks Online company you are logged into. Other companies under the same login are untouched, and personal data held at the Intuit account level is handled through a separate process entirely.

Get your lists out before you type YES

Pull out anything worth keeping first. Customer and vendor lists can be moved into a new company ahead of the wipe, which saves you from retyping your entire roster. Employee records and historical transactions do not survive the purge in any form. Whatever you want waiting on the other side has to be re-entered by hand, so budget for that work before you commit.

The pattern we see

The flow is consistent across cases. Young companies get a fast, in-place reset. Older ones pay with a cancellation and a fresh build. The tool itself behaves as designed; the trouble comes from what users assume it covers. It does not close a subscription, protect a bank feed, or preserve a single list unless you move it first. Treat it as a demolition with a fixed blast radius, walk the checklist above, and the fresh start you wanted is the one you actually get.
