QuickBooks Online's AI-powered banking page automates transaction matching and categorisation. Here is what each feature does and who can use it.
QuickBooks Online has rolled out a redesigned banking page that leans heavily on artificial intelligence to handle transaction matching and categorisation. If you have noticed new banners, suggestion icons, or a “Ready to post” section appearing in your bank feeds, here is what is going on and how the features work.
What the AI banking page does
The new page uses machine learning to suggest matches, categories, and duplicate removals for your bank and credit card transactions. These suggestions improve over time as the software observes how you handle your data. The more you review and confirm or correct its recommendations, the more confident its future suggestions become.
You can spot an AI suggestion by looking for the Suggested by AI icon next to a transaction.
The three AI tools behind the page
Intuit has built the banking page around three distinct AI features, each serving a different purpose.
Intuit AI is the umbrella term for all AI-powered features in QuickBooks. It drives the categorisation and matching suggestions you see on the banking page. Every QuickBooks Online subscription includes Intuit AI.
Accounting AI is a more focused tool available on Essentials plans and above. It powers two specific features on the banking page: Ready to post and Requests for more information.
Intuit Assist is the AI assistant that handles client communication. When you send a request for more information, Intuit Assist can auto-respond to your client to gather the right details and documents, cutting down on back-and-forth emails.
Ready to post: batch your confident transactions
Ready to post is an Accounting AI feature that groups together the transactions the system is most confident about. These are entries it believes you can post exactly as they appear without changes. When a batch is ready, you will see a banner on the banking page. You can review the group and post everything with a single click, or adjust individual items before posting.
This is designed to reduce the time you spend on routine entries that follow predictable patterns.
Requests for more information: ask without leaving QuickBooks
Requests for more information lets you communicate directly from a transaction to your accountant, bookkeeper, or client. You can ask for clarification or a receipt without switching to email. Clients can also start questions for you from their portal.
When a client receives a request, Intuit Assist steps in to auto-respond and prompt for the necessary details. The goal is to make sure the right information comes through the first time, so you are not chasing missing documents.
Matching and duplicates
Matching occurs when QuickBooks finds a downloaded bank transaction that lines up with one you have already categorised and posted. The system flags these so you do not accidentally create a duplicate entry. This is especially useful for recurring payments or transfers that appear in both your bank feed and your ledger.
If you want to understand how the matching logic works or why a particular transaction was flagged, look for the Suggested by AI icon and review the suggestion details.
Who has access to these features
Intuit AI and its basic suggestions are available across all QuickBooks Online plans. Accounting AI features, including Ready to post and Requests for more information, require an Essentials subscription or higher. If you are on a Simple Start plan, you will see the general AI suggestions but not the Accounting AI tools.
The banking page updates are part of a broader push by Intuit to automate routine bookkeeping tasks. If you are adjusting to the new layout, the key is to review the AI suggestions regularly so the system learns your preferences accurately.
