Virginia Form VA-5 Withholding Return in QuickBooks: Filing and Field Guide

QuickBooks prefills most of Virginia's VA-5 withholding return, but certain fields, penalty calculations, and account formatting require manual attention before e-filing.

QuickBooks Desktop users preparing Virginia’s Form VA-5 — the Employer’s Return of Virginia Income Tax Withheld — generally find that the software prefills most fields automatically, but several manual inputs and formatting details still trip up filers each quarter.

How QuickBooks Handles the VA-5

When you open the VA-5 from the Payroll Forms list, QuickBooks populates the majority of the return using your existing company, payroll, and employee data. In most cases where records are current and complete, the form requires little to no manual entry beyond reviewing what the software has filled in.

Fields that QuickBooks does not auto-populate are clearly indicated on the form itself. Hovering over or selecting those fields brings up contextual help explaining what belongs in each one. The general Help button on the form window provides broader navigation and troubleshooting guidance for the overall filing interface.

Filing Deadlines and Frequency

The due date for Form VA-5 depends on your filing frequency. Monthly filers must submit the return on or before the 25th day of the following month. Quarterly filers have until the last day of the month following the close of the calendar quarter.

The period date shown on the form is calculated from the start and end dates you enter on the Select Payroll Form screen. For the return to process correctly, those dates must align with your filing frequency — either the first and last day of a month for monthly filers, or the first and last day of a quarter for quarterly filers.

Virginia Account Number Format

One common stumbling block is the Virginia tax account number, which must be entered in a specific 17-character format. The structure breaks down as follows:

  • A two-character tax code, which is always 30
  • A hyphen
  • A nine-character identification number — either your federal Employer Identification Number or a state-issued temporary number that begins with the letter V
  • A single-character identification type, where F indicates the number is a federal EIN
  • A hyphen
  • A three-character account suffix

The number you enter in QuickBooks carries directly into the scan line generated on the printed form, so accuracy here matters.

Lines That Require Manual Entry

Line 2 — Previous Period(s) Adjustment: Enter any overpayment or underpayment carried forward from a prior period. Virginia requires a detailed written explanation attached to the return whenever you use this line.

Line 4 — Penalty: If the return is filed after the due date, the penalty is calculated as 6% of the tax due for every month or partial month the return is late, capped at 30% of the tax due. The minimum penalty is $10.00, and that minimum applies even when no tax is owed.

Line 5 — Interest: Accrues on late-filed returns; the rate is set by the state and calculated from the original due date through the payment date.

Mandatory E-Filing

Since July 1, 2013, Virginia requires all employers to file and pay withholding tax electronically. Employers who cannot comply must submit a written Virginia Electronic Filing Waiver Request to the state tax department. QuickBooks supports both e-filing and e-payment for the VA-5; the setup process is accessed through the payroll e-file and e-pay configuration within the software.

Practical Tips for a Clean Filing

Before generating the return, verify that all payroll items mapped to Virginia withholding are posting correctly and that employee residency and work-location data are up to date. If you need to reconcile or summarize payroll figures before filing, QuickBooks offers a payroll data summary that can be exported to a spreadsheet for cross-checking against the form totals.

After reviewing and completing the form, save a copy for your records before transmitting. If the return will be paper-filed under a waiver, confirm that the scan line prints cleanly and that the account number renders in the full 17-character format described above.
