Vermont UI QTD Report: Completing the VT C-101 Quarterly Filing

QuickBooks Desktop includes a built-in Vermont UI QTD (quarter-to-date) report designed to help employers complete the state’s C-101 Employer’s Quarterly Wage and Contribution Report. The report pulls payroll data already entered throughout the quarter and prefills most of the fields required for the state filing, which is submitted through the Vermont Internet Tax and Wage System.

Filing Deadlines and Penalties

Vermont requires employers to file and pay unemployment insurance tax for each calendar quarter, even when no wages were paid during a given period. The standard due dates fall on the last day of the month following each quarter’s close: April 30 for the first quarter, July 31 for the second, October 31 for the third, and January 31 for the fourth. When a due date lands on a weekend or legal holiday, the filing and payment must be received by the next business day.

The state assesses a penalty for late, incomplete, or incorrectly formatted submissions. Interest also accrues on unpaid tax balances at a rate tied to the quarterly due date, so timely and accurate filing matters.

What QuickBooks Prefills

When you generate the Vermont UI QTD report, QuickBooks populates several fields automatically based on the company, payroll, and employee data already in your file. In most cases where records have been kept current, little or no manual entry is needed beyond reviewing what the software produced.

Account Number

QuickBooks carries your Vermont unemployment account number into the report from your company setup. The number is a seven-digit identifier, and an incorrect entry will cause the state to reject the return. Verify this field before submitting.

Wage Totals

The report automatically enters total gross wages paid to all employees during the calendar quarter. It also separately reports taxable wages, which exclude any exempt amounts. Both figures should match the totals on the quarterly employee wage statements.

Tax Calculation

QuickBooks uses the employer contribution rate stored in your payroll settings to calculate the UI contribution for the quarter. The software treats the stored rate as a percentage and applies it to the taxable wage total. If you have not yet entered your assigned rate for the year, the calculation will be off, so confirm that the rate on file is current.

Credits and Adjustments

The report accounts for SUI (state unemployment insurance) credits, which should be entered as negative amounts. The total UI tax due is then calculated by subtracting any credit adjustment from the contribution tax owed. If the credit exceeds the tax due, the result is zero rather than a negative balance. Any prior delinquent balances owed to the state are applied separately and are not reflected in this calculation.

Employee Count

For each month in the quarter, the report captures the number of covered employees who worked during the pay period that included the 12th day of that month. This headcount figure is part of the standard state filing and is drawn from the payroll records in your company file.

Reviewing Before You File

Because QuickBooks populates the Vermont UI QTD report from data already entered, the accuracy of the filing depends on the accuracy of the underlying payroll records. Before transferring figures to the state’s online system, review any fields the software did not fill in and confirm that wage totals, tax rates, and the account number are all correct.
