Vermont Form WHT-434 Withholding Reconciliation in QuickBooks
QuickBooks prefills most of Vermont's annual Form WHT-434 withholding reconciliation, but certain fields require manual entry and review.
QuickBooks Desktop users preparing Vermont’s annual withholding reconciliation — Form WHT-434 —have reported confusion over which fields the software populates automatically and which ones require manual entry. The form, formally titled the Annual Withholding Reconciliation of Withholding Tax Account, reconciles the prior year’s withholding amounts reported across all W-2 and 1099 forms submitted to the Vermont Department of Taxes.
What QuickBooks Fills In Automatically
For most employers whose company, payroll, and employee data is fully entered in QuickBooks, the software prefills the majority of fields on Form WHT-434. Users generally do not need to supply additional information beyond what already exists in their company file. However, several fields demand manual attention, and the form window includes a Help button for general navigation and field-specific troubleshooting.
Electronic Filing Threshold
Vermont requires employers who submit a combined total of 25 or more W-2 and 1099 forms to file electronically. QuickBooks supports e-filing of state W-2s, and Vermont’s own online portal — myVTax — handles electronic submission of Forms W-2, 1099, and WHT-434 through the state’s tax website.
Vermont Account Number Format
The state requires an 11-character account number formatted as WHT followed by eight digits. If the number in QuickBooks is incorrect, corrections can be made through Payroll Setup or the Payroll Item List setup. Employers who have not yet received a Vermont account number should leave the field blank; the state will use the federal Employer Identification Number for identification in that situation.
A critical detail: the older account numbers that begin with “430” are no longer valid and must not be entered on the current form.
Fields Requiring Manual Entry
Reporting Period
The reporting period covers the full calendar year regardless of when business activity started or stopped during that year.
1099 Quantity and Amounts
Three 1099-related fields need manual input:
- Number of 1099s submitted to Vermont — the total count of 1099 forms sent to the state for the year.
- 1099 nonwage payments — any Vermont nonwage payments made during the year that are reported on Form 1099-R and Form 1099-MISC.
- 1099 tax withheld — the total Vermont tax withheld from both wage and nonwage payments reported on Form 1099-R and Form 1099-MISC.
Tracing Numbers Back to Source Data
Users who want to verify where the prefilled amounts originate can use the hyperlink fields within the form window to trace specific figures back to their source in QuickBooks. The software also offers options to summarize payroll data in a spreadsheet format for independent review and to save a copy of the completed form as a PDF for recordkeeping.
Common Pitfalls
The most frequently encountered issues center on the account number format — particularly the lingering use of the deprecated “430” prefix — and the manual 1099 fields that QuickBooks cannot populate on its own. Users who keep incomplete contractor or 1099 data in their company file will need to gather those figures from outside records before the form can be completed accurately.
For broader payroll form preparation and troubleshooting, the form’s built-in Help button remains the most direct reference for field-level guidance within QuickBooks itself.
