The TC-941 form in QuickBooks auto-populates three primary fields from existing payroll data:

  • Line 1 — Wages, compensation, and distributions: QuickBooks enters Utah wages for the reporting period. Filers who paid compensation or distributions to employees, or made payments to working interests, royalty interests, or overriding royalty owners during the period, may need to edit this line to include amounts QuickBooks did not capture automatically.

  • Line 3 — Utah tax withheld: The total Utah state income tax withheld for the period is shown on this line.

QuickBooks draws these figures from paycheck data already recorded in the company file, so the accuracy of the prefilled amounts depends entirely on whether payroll was processed correctly throughout the quarter.

The TC-941R Annual Reconciliation

The point that catches filers off guard is the annual reconciliation requirement. Utah requires all TC-941 filers to also file Form TC-941R — the annual reconciliation return — by January 31 of the following year. This is a firm statutory deadline, not a flexible target.
