Users Encounter Issues When Setting Up Projects in QuickBooks Online

Many QuickBooks Online Plus, Advanced and Accountant users report missing project options or errors when trying to track income and costs, and the accepted solution shows how to enable and use the feature correctly.

Common Problems When Enabling Projects

A frequent complaint is that the Projects menu is absent from the All apps list even after logging in. Users on QuickBooks Online Essentials or Simple Start sometimes assume the tool should be available, only to find it locked to Plus, Advanced and Accountant subscriptions. In Accountant editions the toggle stays off unless manually activated, leading to the belief that the feature is broken. Some users report that after turning the switch on the setting reverts or remains grayed out, preventing any further action.

Symptoms Users Notice

When the feature is not properly enabled, attempts to create a new project result in a message that the option is unavailable. If the menu appears but the New project button is missing, users cannot start tracking. When they manage to open a project form, saving often fails with an unclear error, and the project does not appear in the list afterward. Adding existing expenses or timesheets to a project sometimes shows no Customer/Project dropdown, leaving the transaction unlinked. Others observe that after changing a customer on a project, past invoices remain tied to the old customer, causing confusion during follow‑up.

Steps That Resolve the Issue

The accepted solution begins with confirming the correct subscription level. Only QuickBooks Online Plus, Advanced or Accountant support Projects; Essentials and Simple Start do not. For Accountant users the toggle must be flipped on manually via Settings, Company settings, Advanced, Projects, then saving the change. Once enabled, the Projects option appears in the All apps menu.

To create a project, navigate to All apps, Projects, Projects, then select New project. Fill in the required fields: project name, associated customer, start and end dates, optional status and notes, then save. If this is the first project, the Start a project button may appear instead.

Assigning a different customer later requires opening the project, choosing Edit, picking a new customer from the dropdown, saving and confirming the reassignment prompt. Users should note that this action links all past invoices and estimates to the new customer, so any outstanding documents need to be resent.

Adding transactions involves opening the desired project, using the Add to project dropdown to pick a transaction type, entering details and saving. For existing expenses, go to Expenses & Bills, Expense transactions, open the expense, select the project from the Customer/Project column and save. Timesheets follow a similar path through Time, Time entries or the Weekly timesheet, then assigning the project before saving.

Tips for Ongoing Project Management

Regularly verify that the Projects toggle remains active, especially after subscription changes or updates to the Accountant workspace. Keep a clear naming convention for projects to avoid duplication and make reporting easier. When reassigning customers, double‑check that all related invoices, estimates and bills have been updated to prevent billing discrepancies. Review project reports periodically to ensure income and costs are accurately reflected, and adjust dates or status as the work progresses.

By following these steps, most users find that the Projects feature becomes visible, functional and reliable for tracking project‑specific finances within QuickBooks Online.
