Tracking and Submitting Hours in QuickBooks Workforce After the Redesign

QuickBooks Workforce users can clock in, switch jobs, take breaks, edit timesheets, and submit hours once they know the app's current flow.

COMMUNITY ISSUESQUICKBOOKY

A familiar question is circulating among QuickBooks Workforce users: how do you track hours and submit them now? Intuit updated the QuickBooks design, so older walkthroughs and videos show screens that no longer exist. We walked the accepted answer end to end, and it covers the full cycle: clocking in, switching jobs, breaks, edits, and submission.

The symptoms are easy to recognize. You sign in and cannot find where the day starts. Or you clock out, the app will not finish, and a form you never saw appears asking for details. None of this is a malfunction. The app now requires certain fields at certain moments, and the controls sit under a Track Time menu rather than on the main screen.

Where did the time clock controls go?

Open QuickBooks Workforce and sign in if the app asks. Select Track Time, then Time clock. If your employer tracks work by job or customer, pick one from the Job or Customer list before you start.

You can favorite the ones you use most. Tap the star beside a job, and a Favorites list collects them for faster picks later, complete with a running count.

Jobs with addresses go one step further. When location services are on, jobs near you appear under a Nearby heading, and the app will offer to switch the service on if it is off.

Fill any other required fields, such as a note, then select Clock In. The timer starts running from that moment.

The clock-out prompt that trips people up

At the end of a shift, the path reverses: Track Time, then Time clock, then Clock Out. Here is where most of the confusion sits. If a required field was left empty earlier, the app prompts you to complete it before the shift can close. Fill in what it asks, then choose Save and clock out. The button did not fail; it was waiting on data.

Switching jobs without stopping the clock

Mid-shift changes are handled rather than improvised. Select Track Time, then Time clock, then Switch. Pick a job from your recent list, or choose the option to work on something else and browse the full list. Fill any required fields for the new assignment. The timer for the new job or customer starts on its own, so there is no second clock-in to manage.

Breaks and timesheet corrections

Breaks use the same door. Select Track Time, then Time clock, then Break, and choose the break type from the list. Complete any required fields and save. When you return, select End Break and the shift timer resumes.

Corrections happen in a different place, and that is the second half of the answer. Select Track Time, then Timesheets, and open the entry you need to fix. Edit it and save, or open the More options menu to delete it. Deleting asks you to confirm before the entry disappears.

Submission is a separate step

Tracked hours do not travel to payroll by themselves. From Timesheets, open More options and select Submit time. Choose the dates that cover the period, select Submit, then confirm with Submit again. The double confirmation is deliberate, and it is the last gate before your hours leave your hands.

One more detail from the accepted answer: admins and managers can track time for an entire group or crew, not just themselves. If you manage a team, the same menus are your starting point, and the answer points to app troubleshooting if something on your device misbehaves.

The redesign explains the mismatch

The answer itself carries a warning worth repeating. The QuickBooks design has been updated, and videos or guides that predate the change may not match what you see. When a screen looks wrong, the in-app search bar is the fastest way to reach the page you need. The answer also references QuickBooks Time, the vendor’s dedicated time product, which is separate from the Workforce app and should not be confused with it.

Nothing here needs repair. Once you know that Track Time leads to both the Time clock and Timesheets, and that required fields can pause a clock-out, the whole cycle settles into a routine.
