Timesheet Setup in QuickBooks Online: Plans, Permissions, and Invites

Setting up timesheets in QuickBooks Online trips users over plan limits, user permissions, and employee invites for QuickBooks Time.

COMMUNITY ISSUESQUICKBOOKY

Timesheet setup keeps surfacing as a friction point for QuickBooks Online users who want hours tracked without an owner keying in every line. The blockers are predictable. The subscription may not include the timesheet forms at all. Permissions may sit too wide or too narrow. Or the employee invitation to QuickBooks Time never arrives. Intuit frames all three as setup decisions rather than defects, and we have ordered them below in the sequence that clears the most reports.

Which plans actually include timesheets?

Basic time tracking in QuickBooks Online means two entry forms: a single time activity and a weekly timesheet. Intuit limits both to the Essentials and Plus subscriptions. On Simple Start, the forms are absent altogether. That absence is the symptom behind many baffled reports, so the plan check comes before any settings hunt.

The plan boundary explains a familiar complaint. A user follows the published steps and the menu entries are simply not there. Availability follows the subscription, not a setting, so no toggle will summon the forms on a lower tier.

QuickBooks Time sits apart from those built-in forms. It pairs with any QuickBooks Online Payroll product, and Intuit builds it into the Premium and Elite payroll tiers outright. The company also recommends it over basic tracking for anything beyond the simplest needs. Bundled subscribers get the fuller tool by default, yet they still have to invite each employee before it does anything.

Decide who fills out the timesheet

Settle this before anyone records an hour. With QuickBooks Time, employees can log their own time, which takes the bookkeeper out of the loop. Otherwise one user can be responsible for everyone’s sheet. A mix also works, with some staff logging their own hours and a designated user covering the rest.

If you bill customers for time, fix the rate structure at the same moment. Default hourly rates can sit on each employee or subcontractor. Rates can instead follow the service performed. Or the two approaches can combine. QuickBooks Time users set these rates for employees and for contractor services.

How do you invite an employee to QuickBooks Time?

Premium and Elite payroll subscribers send the invitation from inside the employee record. Open All apps, choose Payroll, then Employees. Select the person, pick Edit beside the Pay section, and add their email in the personal info area. A checkbox there lets you invite the employee to record their own hours. It appears only when QuickBooks Time is in use. Finish with Done, and the invite lands in the inbox.

Invitations do go astray. If nothing arrives, return to the same Edit screen and use the Resend option rather than creating a second employee entry.

Weekly timesheet permissions

Without QuickBooks Time, the question becomes user access. QuickBooks Online permits two models: a user fills everyone’s timesheets, or a user fills only their own. Two mechanisms enforce the second model. A standard user whose role already excludes all access or sales access can be trimmed further, down to their own sheet. The cleaner route is a dedicated user type.

The Time Tracking Only user

That dedicated type is the Time Tracking Only user. Create it under Settings, then Manage Users, then New, and select the time tracking option among the user types. The person receives their own sign in. On logging in, they land in a stripped down build of QuickBooks Online that shows their timesheet and no other features. Nothing else in the books is exposed to them.

The setup sequence that resolves it

Reports of this kind close without a defect ever being found. The sequence stays the same. Confirm the subscription carries the timesheet forms, which live in Essentials and Plus only. Decide who enters time and how rates are billed. Invite tracked employees through the payroll record when QuickBooks Time is present. Otherwise shape access with permissions or a Time Tracking Only profile. The rate decision deserves early attention too, since a structure changed mid period leaves entries to revisit. Once plan, people, and permissions agree, the timesheets behave.
