Streamlining intercompany sales in Intuit Enterprise Suite

Users describe the hassle of manual intercompany invoicing and how automation in Intuit Enterprise Suite cuts work, improves accuracy and speeds consolidation.

April 2025, QuickBooks users managing multiple entities report growing frustration with manual intercompany sales processes.

The pain of manual intercompany sales

Many organizations that operate several legal entities rely on intercompany sales to move goods or services between units. When these transactions are entered by hand, the workload rises quickly. Accountants must create an invoice in one company, then record a matching bill in the other, and keep track of amounts, dates and tax codes. Each step invites transcription errors, mismatched amounts and delayed posting. The manual approach also forces teams to maintain separate journals for each entity, making it hard to see the full picture of internal trade.

Symptoms users notice

Finance teams often spot the problem during month‑end close. Balances between parent and subsidiary do not reconcile, requiring extra time to hunt down missing entries. Auditors flag unexplained differences in intercompany receivables and payables, which can delay the issuance of consolidated statements. Some users report that the volume of manual journal entries grows with each acquisition, leading to overtime and increased stress on the close team. In addition, the lack of a single source of truth makes it difficult to assess profitability of individual units because internal sales are scattered across multiple screens.

Affected product

The challenges described above occur in Intuit Enterprise Suite, the multi‑entity version of QuickBooks designed for organizations with several legal entities. The suite includes the Consolidated View and Multi‑Entity Hub that are meant to simplify cross‑company reporting, but without automation the benefits are limited.

How automation resolves the issue

Automating intercompany sales removes the need to create duplicate entries manually. When an invoice is generated in one company and flagged as an intercompany transaction, the system creates a matching draft bill in the receiving company. This draft stays unposted until the receiving entity reviews and accepts it, ensuring that both sides record the same amount at the same time. By centralizing the transaction data, the suite provides a single source of truth that improves visibility into internal trade. Real‑time access to these transactions helps controllers spot trends, make faster decisions and protect profit margins.

Step‑by‑step workflow

Users begin by opening the invoice screen and selecting Create Invoice. They choose a customer from the regular list, then pick an internal customer from the IC Customer list to mark the transaction as intercompany. The system automatically adds an internal note labeled ICT to the invoice, which remains hidden from external parties.

After saving or sending the invoice for acceptance, a draft bill appears in the receiving company’s Bills list under the For Review tab. The lead accountant opens the draft, assigns the appropriate expense or revenue account, updates any required dimensions such as department or location, and either saves the draft again or accepts and closes the bill. Accepting the bill links it to the original invoice as an intercompany transaction.

To review the linked pair, navigators go to Consolidated View, open All Apps, select Accounting and then Intercompany Transactions. Here they can see invoices, bills, journal entries and allocations in one grid. Selecting a transaction shows the journal lines for both companies on a single screen, simplifying verification. When the amounts are correct, the user selects the transaction and chooses Eliminate.

The elimination function requires the Manual Eliminations policy; parent administrators receive this right by default, while other roles must request it from the primary parent admin. The system pre‑fills the elimination amounts based on the transaction, and the reviewer confirms the figures before saving. Once the elimination is posted, consolidated reports reflect the removal of internal sales, presenting an accurate view of external revenue.

By following these steps, teams replace a tedious, error‑prone process with a streamlined workflow that cuts manual work, speeds reconciliation and supports reliable financial reporting.
