Stock Items in QuickBooks Online: The Settings Step Most Users Miss

QuickBooks Online only counts stock on Plus and Advanced plans, and only after you switch on tracking in sales settings; here is the full setup path.

COMMUNITY ISSUESQUICKBOOKY

Community threads in English and in French keep hitting the same wall: the option to create a stock item never appears, or items exist but quantities refuse to move. The products list is rarely the culprit. Stock tracking in QuickBooks Online depends on your plan and on one switch in settings. Both must line up before a single item can be counted. The accepted fix in those threads is the same sequence every time: check the plan, then one setting, then the items.

Where is the stock tracking switch?

Open the gear icon at the top right of QuickBooks Online and select Account and settings. Go to the Sales tab and open the Products and services section. Turn on the option that tracks inventory on hand, then save. Only then does the New button in the products list offer a Stock choice.

Plan level matters more than anything else on this screen. The stock features ship with QuickBooks Online Plus and Advanced only. On lower plans the switch is simply absent. That absence is the quietest version of this issue: users hunt for a stock item type their plan cannot display.

Switch tracking on before you create any items. Items added afterwards are counted from day one; anything created earlier has to be converted, a step we cover below.

Item types in the products list

Four types await you, and choosing the right one saves cleanup later. Stock covers products you sell and want counted. Non-stock covers things you buy or sell without counting, such as the fittings an installer consumes but never invoices on their own. Service covers billed work with nothing physical behind it. Bundle groups several products or services into one sellable line, a gift hamper being the usual example.

The type decides whether quantities move. Only stock items get counted; the others remain simple lines on a form.

Adding your first stock product

Once tracking is on, the flow is short:

  1. Select the gear icon again, open Products and services, and choose New. Pick Stock as the type.
  2. Enter the product name and its SKU, a field the French edition labels UGS. Choose a category from the dropdown if you use categories, because they keep a long list searchable.
  3. Enter the opening quantity on hand and the date that number is true as of. Set a reorder point, the level that should prompt you to buy more, and confirm the stock account the value posts to.
  4. Fill in the sales details, meaning the description, the price, and the income account, then the tax treatment. Add the purchase side too: cost and the expense account, so supplier bills land in the right ledger.

If your products already live in a spreadsheet, skip the one-by-one typing. The products list can import a whole sheet in a single pass.

Turning a non-stock item into a stock item

Plenty of users add products first and decide to count them later, which is the other half of the recurring threads. Open the item from the products list and edit it.

Change its type from non-stock to stock, and the form grows the fields a counted item needs. The critical pair is the opening quantity and the date it applies to, since every later movement builds on it. Fill those in once, with care, and the item starts counting from that moment. This works only on plans that include the stock features.

The bookkeeping the software takes over

After setup, QuickBooks adjusts quantities as you work. An invoice carrying the product lowers the count; a supplier bill raises it. When stock dips below the reorder point, the products list flags the item. Sales forms pick up the product with its price already attached, so nobody retypes it.

None of this runs on a plan without the stock features, and none of it runs with the switch still off. That is the whole fix behind the recurring question: confirm the plan supports stock, enable tracking in Sales settings, then add or convert the items. We have kept the steps to what current menus actually show.
