Spreadsheet Sync will not install? The Excel and admin requirements that fix it
QuickBooks Online Advanced users report Spreadsheet Sync failing at install; the accepted fix covers Excel-only sync, admin roles, and an Edge upgrade.
Community threads about Spreadsheet Sync in QuickBooks Online often end the same way. The menu option is missing, the add-in will not install, or Google Sheets refuses to act like Excel. We reviewed the accepted answer, credited to Intuit, and it treats all three as requirement problems rather than defects. The fixes are concrete, and most happen before the first sync runs.
Excel carries the sync; Google Sheets carries the reports
Spreadsheet Sync moves data between QuickBooks Online Advanced, or QuickBooks Online Accountant, and your workbook, keeping figures current and open to custom analysis. The accepted answer draws a hard line between the two spreadsheet platforms. The sync itself runs in Excel only. Google Sheets can run reports, including reports that span several companies, but it is not a destination for synced data.
That split explains a common frustration. A user who expects a Google Sheet to update QuickBooks in bulk is pushing on a door Intuit never opened. Reports in Google Sheets, sync in Excel: keep that division in mind and half the confusion disappears.
Who can turn it on?
Permissions are the second blocker. Only administrators on QuickBooks Online Advanced or QuickBooks Online Accountant can reach Sheet Sync at first, and only they can grant it to other users. Three roles qualify: Master Administrator, Company Administrator, and Standard Full Access.
The accountant side carries extra rules. A QuickBooks Online Accountant user needs client access before anything else. Sync only works with clients on the Advanced plan. Inside a client’s Advanced account, an accountant user counts as a Company Administrator, which usually settles permission questions quickly.
If the option is absent from your Reports menu, check your role before anything else. The feature is not hidden; it is gated.
Installing the Excel add-in
The documented path starts inside QuickBooks Online Advanced. Open the Reports area and choose Spreadsheet Sync, then select the option to run a report in Excel. From there, follow the prompts to download and install the add-in.
Two environment requirements decide whether that install succeeds. You need Excel from Office 365; an older standalone copy will not do. And if your default browser is Internet Explorer 11, upgrade to Microsoft Edge before you start. When the trust prompt appears, accept it. That final confirmation completes the installation, and dismissing it leaves you back at the start.
A second route reaches the same installer. In Reports, open Standard reports, expand the menu for creating a new report, and choose the spreadsheet option, then continue. The download and install steps that follow are identical.
The Google Sheets route
Setup for Google Sheets happens inside Google Sheets. Open the Extensions menu, choose Add-ons, then Get add-ons. Search for the Spreadsheet Sync add-on, select it, and follow the prompts to finish. Remember the division of labor: this path serves report runs. Bulk updates and live sync remain Excel territory.
Signing in and choosing a company
The add-in still needs your identity after installation. Open the workbook, open the Spreadsheet Sync menu, and choose Get Started. Sign in with your QuickBooks credentials and follow the prompts. If your login reaches more than one company, select the company this workbook should serve.
If it still will not cooperate
Work the checklist in order. Confirm your role is one of the three that qualify. Confirm your Excel comes from Office 365 rather than an older build. Make Edge the default browser if the installer objects to Internet Explorer 11. Accept the trust prompt instead of closing it. Aim Excel at the sync and Google Sheets at reports, never the reverse.
None of this is a workaround. The accepted answer presents the requirements as the resolution: once the role, the Office version, and the browser line up, setup completes normally.
After that, the tool covers the jobs people install it for. You can build custom financial reports, analyze data, collaborate in real time, push bulk updates into QuickBooks, and run reports across several companies.
