Spreadsheet Sync setup in QuickBooks Online: who gets in and how
How QuickBooks Online Advanced and Accountant users get Spreadsheet Sync running, plus the Excel and Google Sheets split that trips up new users.
Threads about Spreadsheet Sync tend to open the same way: a QuickBooks Online user wants the books in a spreadsheet, starts installing, then finds the wall is a rule, not a bug. The accepted guidance, which carries Intuit’s byline, settles most of the setup in one pass. The friction sits in three places: the plan you have, the role you hold, and the spreadsheet program you expect the tool to run in.
Who can use Spreadsheet Sync?
The tool links QuickBooks Online Advanced, or QuickBooks Online Accountant, to your spreadsheet so data can move in both directions. It belongs to those tiers. Users on other QuickBooks Online plans will not find it.
Access starts with admins. The roles named in the answer are primary admin, company admin, and standard all access. Someone in one of those seats has to grant permission before colleagues can get in.
Accountant users get a narrower lane. You need client access to begin, and the client must be on the Advanced plan. Once inside, accountants count as company admins within that client account, which is why the tool opens for them there.
Does Google Sheets work for this?
Here is the constraint that generates most of the confusion. The two-way connection, including bulk updates pushed back into QuickBooks, runs in Excel exclusively. Advanced and Accountant pair with Excel for that side of the exchange, and nothing else qualifies.
Google Sheets is not locked out, but its role is narrower. You can run reports there, including reports that span multiple companies. You cannot run the data connection through it. Users who expected a full sync in Sheets keep finding this line the hard way.
Installing the add-in in Excel
Start from inside QuickBooks Online Advanced. Open Reports, choose Spreadsheet sync, then select the option to run a report in Excel, and follow the download steps. Two requirements deserve a look before you begin.
The add-in expects Office 365 Excel, so an older standalone copy of the program may not cooperate. If your default browser is still Internet Explorer 11, the guidance says to move to Microsoft Edge before installing. When the trust prompt appears, accept it to finish the setup.
The second route to the same installer
A second path reaches the same download. In Reports, open Standard reports, expand the Create new report dropdown, and pick the in spreadsheet option. Both routes end at the same installer, so use whichever is easier to find.
Adding it to Google Sheets
For the reporting side in Google Sheets, you install from the Google menu instead. Open a sheet, select Extensions, then Add-ons, then Get add-ons. Search for Spreadsheet Sync there and follow the prompts to finish.
Signing in and signing out
In Excel, open the program, pick Spreadsheet Sync from the menu, and select Get started. Sign in with your QuickBooks credentials. If your login reaches more than one company, you choose which one to work in before anything moves.
Google Sheets follows the same pattern with one extra hop: Extensions, then Spreadsheet Sync, then Launch add-in, and from there Get started and your credentials. Signing out is identical in both programs. Open the Spreadsheet Sync menu, select the person icon, and sign out.
The payoff once it runs
The answer lists what the connection buys you. You can build custom financial reports, analyze the data, collaborate live inside the sheet, and push bulk edits back into QuickBooks. Reporting across multiple companies rounds it out. None of that changes the platform split. Excel carries the data work, and Sheets carries the reports.
The short version
The recurring dead ends are about eligibility, not the installer. Check the plan, then the role, then the program. Excel handles the two-way link for Advanced and Accountant users, and it wants Office 365 plus a current default browser. Google Sheets handles reporting only, installed as an add-on from the Extensions menu. Sign in with your QuickBooks credentials, pick your company, and the setup is done.
