Setting up and editing Bank Feeds accounts in QuickBooks Desktop

QuickBooks Desktop connects bank and credit card accounts through Direct Connect or Web Connect, and edits to a live feed require disconnecting it first.

COMMUNITY ISSUESQUICKBOOKY

Bank Feeds in QuickBooks Desktop link your bank and credit card accounts to online banking, so transactions download instead of being typed in by hand. The setup keeps surfacing in community threads, and most questions land on the same two spots. One is picking the connection method your bank actually offers. The other is fixing an account detail after the feed is already running. We have laid out the accepted path for both below.

Which connection method does your bank support?

QuickBooks Desktop offers two main routes into your bank, and availability depends on the institution. Direct Connect ties QuickBooks straight to the bank’s server. Some banks issue a PIN or a separate password for it. Web Connect works through a file instead: you download a .QBO from the bank’s website and import it into QuickBooks yourself.

Some banks support a third route, Express Web Connect. It signs in with your regular online banking credentials and skips the bank’s own enrollment, though you cannot move money through it from inside QuickBooks. Confirm what your institution offers before you start, because the setup steps differ between the routes.

The credentials to have ready

The setup asks for a customer ID and a password or PIN. Your account number comes next, the one your financial institution assigned to the account. If it is not printed on your statements, the bank can supply it. The routing number is the nine-digit number assigned to your bank. The bottom of a check usually carries it, and the bank can confirm it if you cannot find one.

There is also a ceiling worth knowing. A single company file supports up to 40 connected accounts. If you need more, split them across two or more company files.

Setting up Direct Connect

The live route starts with an enrollment. Open the Banking menu, choose Bank Feeds, then Set up Bank Feeds for an account. Type your bank’s name and pick it from the list. If this is your first enrollment, follow the Enrollment Site link to apply for Direct Connect.

Banks sometimes review those applications before approving them, and some issue special sign-in credentials for the service. If yours does, wait for the approval and use the credentials the bank gives you.

Once you are enrolled, select Continue and enter your online banking user ID and password. Select Connect so QuickBooks can reach the bank’s server, choose the account you want linked, and select Finish.

Importing a Web Connect file

The file route needs no enrollment. Download the .QBO file holding your company’s transactions from the bank or card website. Then, in QuickBooks, open the Banking menu, choose Bank Feeds, and select Import Web Connect Files.

Select the saved file and choose Open. QuickBooks asks which account the data belongs to. Choose “Use an existing account” if the account already exists in your file, or “Create a new QuickBooks account” if it does not. Select Continue, then OK when the dialog confirms the data has been read in.

Your imported transactions land in the Bank Feeds Center, which is where you review them before anything posts to the register.

Need to fix a detail after the feed is live?

Feed settings stay locked while the service is running, so an edit follows a fixed sequence: disconnect, change, reconnect.

Disconnect first. Open the Chart of Accounts, right-click the connected account, and choose Edit. On the Bank Feed Settings tab, deactivate all online services for that account and save.

Then make whatever change prompted the edit. A corrected account number or routing number is the usual reason. Reconnect last: choose Bank Feeds, then Set up Bank Feeds for an account from the Banking menu, and walk through the same enrollment or import steps as before.

That is the whole loop. Setup takes either an enrollment or an import, and every edit routes through a disconnect. Once the feed is back, downloaded transactions gather in the Bank Feeds Center for review before they post.
