QuickBooks Workforce Sync Failures: Clock-In Errors and Missing Jobs

QuickBooks Workforce — the mobile app that lets employees clock in, track time, and submit timesheets — has a long tail of sync-related complaints. Users report missing jobs or customers, incorrect clock-in and clock-out stamps, timesheet notes that appear blank, and a “mobile time entry restricted” error that blocks action on the device. In nearly every case, the root cause is a breakdown in communication between the mobile app and the web dashboard — not a problem with the timesheet data itself.

What Goes Wrong

The accepted troubleshooting guidance from the QuickBooks community identifies a broad set of conditions that interrupt syncing. Some are device settings; others are connectivity or account-state issues. The most common culprits include:

  • Battery and power management: Battery saver mode, Android battery optimization, or airplane mode can all prevent the app from communicating with the server. On Android, users should check their device manufacturer’s instructions for excluding an app from battery optimization.
  • Background data restrictions: On Android, “restrict background data” can block syncs. On iOS, the equivalent problem is background app refresh being turned off.
  • Force-closed app: If an employee force-closes the app while clocked in, the app stops communicating. The app needs to remain open in the background during an active clock-in session.
  • Outdated software: An outdated app version or an outdated device operating system can both cause sync failures.
  • Multiple active sessions: QuickBooks Workforce only allows an employee to be clocked in on one device at a time. If someone is clocked in on a computer or kiosk, the mobile app will not function correctly for that session.
  • Connectivity and hardware: No Wi-Fi or cellular data, a powered-off device, a dead battery, satellite interference in the user’s location, or physical device damage can all interrupt communication.

Forcing a Manual Sync

The first troubleshooting step is to force the app to sync. Open the app, go to More, select Settings, then Help & Support, and choose Sync data. If the sync completes without error but problems persist, continue with the steps below.

Wi-Fi-Only Transfer Setting

A specific setting can quietly block syncs over cellular connections. Go to More, then Settings, and select General. Turn off Transfer Files only over Wi-Fi. Return to Settings, select Help & Support, and run Sync data again. This resolves cases where the app works on Wi-Fi but fails on a mobile data connection.

Missing Jobs or Customers

If jobs or customers do not appear in the app, the cause is often a sequencing problem: the QuickBooks Workforce app was installed before jobs were added to the web dashboard on a computer. Run a manual sync as described above, then go to Track Time at the bottom of the app, select Time clock, and search for the job or customer.

If the job still does not appear, the issue may be on the admin side. An administrator needs to sign in to the web dashboard, go to My Team, open the relevant team member’s profile, and confirm that the jobs or customers have been assigned to that person.

Resetting and Reinstalling the App

When manual syncs and assignment checks do not resolve the problem, the next step is to reset the app. There is a critical caveat: any timesheet data stored locally on the mobile device must be synced to the web dashboard before resetting. If it has not synced, that data will be lost permanently.

To reset, go to More, select Settings, then Reset App, and confirm the action.

If a reset does not work, the final step is to uninstall and reinstall QuickBooks Workforce entirely. The same data-loss warning applies — confirm that all local timesheet entries have synced to the web dashboard before uninstalling. After reinstalling from the Google Play Store or Apple App Store, sign back in, navigate to Track Time, then Time clock, and verify that the assigned jobs and customers now appear.

The Empty Timesheet Note Error

One specific error message — “Timesheet note is empty. Please enter a note to clock in” — can appear when sync issues prevent the app from reading the job configuration. After completing the sync or reset steps above, the note requirement should behave as configured by the administrator. If the problem persists, the admin should verify that the team member’s job assignments and timesheet settings are correct on the web dashboard side.
