QuickBooks Workforce setup: the iPad search gap and stalled time tracking

Employees installing QuickBooks Workforce hit a missing iPad listing, a mismatched app name, and stalled tracking; here is the setup that works.

Employees setting up QuickBooks Workforce for the first time keep hitting the same small walls. The app refuses to appear in iPad App Store searches. The install prompt names QuickBooks Time instead. Once installed, time and location tracking can stall the moment the screen locks. We walked the setup path end to end, and the fixes come down to three things: a store filter, a permissions change, and a battery setting.

Two names, one app

QuickBooks Workforce is the employee-facing mobile app for time tracking, and it is built on the same system as QuickBooks Time. That double identity surfaces at the worst moment. Mid-install on an iPhone, the system asks whether QuickBooks Time may send you notifications, which leads many new users to assume they downloaded the wrong app. They did not. On Android, the app can appear under either name in your app list and in the system settings screens. Searching either name in either store finds the same download.

Why won’t the app show up in iPad searches?

This is the most common iPad complaint, and it is not an outage. The App Store on an iPad defaults to a filter that shows only apps built for the iPad, and Workforce is built for the iPhone. Along the top of the store, find the filter for iPad-only apps. Switch it to iPhone apps, search for QuickBooks Workforce again, and the listing appears. The app then runs on the iPad in its iPhone form. That single switch clears the missing-listing problem without any reinstall.

The install, phone by phone

On an iPhone, open the App Store and search for QuickBooks Workforce. Before installing, check the Information section of the listing. It states whether the app works on your iPhone, and it lists the download size. Tap Get, then Open, and answer the notification question either way; notifications are optional and can be changed later.

On Android, open Google Play and search the same way. The listing’s about section shows a compatibility line for each of your active devices, and the download size sits under the app info heading. Back out of that screen, choose Install, then Open. If a notification prompt appears, either answer works.

Neither platform needs anything else at install time. The trouble starts afterward, in settings.

The settings that decide whether tracking works

On iOS, start with the battery. Low Power Mode suspends background activity, so turn it off under Settings, Battery. If you run a third-party battery saver, exclude Workforce from it. Then open Settings, select the app, and set Location to Always, with precise location turned on. Notifications can stay off if you prefer. Turn on Background App Refresh for the app, and confirm that Location Services is enabled globally under Settings, Privacy & Security.

Android follows the same logic, but the menus differ between phone makers, which is where many users lose their way. On most devices the path runs through Settings, then Apps. The app may be listed there as QuickBooks Time rather than Workforce. Inside its app info page, set the Location permission to allow it all the time, with precise location on. Notifications are optional again. Under Battery, choose the unrestricted option so the system stops throttling the app in the background.

The pattern behind every step is the same. A time clock has to keep running while your screen is off, and location tracking has to survive the moment you switch to another app. Permissions set to only-while-using, aggressive battery saving, or disabled background refresh each cut the app off at exactly that point.

Does the battery setting matter without location tracking?

It does. Even when no employer requires GPS, the clock still needs to run while you lock the phone or move between apps. The unrestricted battery setting and Background App Refresh are what keep a shift recording instead of freezing partway through. Storage is the smaller question. Each store listing shows the download size before you install. Ongoing battery cost comes mainly from precise location, which you can leave off when nobody requires it.

The short version

A working first day on Workforce looks like this. Install from the correct listing, switching the iPad store filter to iPhone apps if needed. Accept or decline the notification prompt, since either choice is safe. Set location to Always with precise on where the employer requires it. Lift the battery restrictions on either platform. And if a prompt or settings screen calls the app QuickBooks Time, that is the same product under its other name, not a sign that something went wrong.
