QuickBooks Workforce clock-in blocked: mobile time entry sits with the Time admin

A QuickBooks Time admin setting for mobile time entry, plus location permissions, decides whether staff can track time in the Workforce app.

QuickBooks Workforce users who cannot clock in from the mobile app are usually not fighting a fault in the app itself. The block almost always traces back to a permission held in the QuickBooks Time web dashboard, which only a company admin can reach. We have set out how the setting works, why it can differ from one team member to the next, and the steps that get people recording hours again.

The pattern: sign-in works, tracking does not

A team member affected by this opens the Workforce app, signs in without trouble and can read their past hours. The clock button is the part that fails, because mobile time entry has been switched off in QuickBooks Time. Reinstalling the app changes nothing while that permission stays closed.

The same admin dashboard governs the other Workforce behaviours as well: location tracking, geofencing, notifications, timesheet submission, the who’s working view and the time zone a mobile device uses. Each of those produces its own symptom when it is off, but the blocked clock-in is the one that leads people to this corner of the settings.

One tick box decides mobile access for everyone

Open QuickBooks Time, go to Company Settings, then Time Options, then Time Entry. If the box labelled Allow team members to track time on the mobile app is empty, nobody on the account can clock in or out from a phone. Ticking it and saving restores access for the whole team at once.

A second box sits beside it. Allow team members to manage their own timesheets goes further: staff can sign in from a computer or a phone and manage their own hours. Ticking it also switches mobile time entry on across the account and greys that box out, since anyone managing their own timesheets needs a way to record them.

Why can one person clock in when their teammates cannot?

Individual permissions override account-wide ones. That single rule explains the most confusing version of this problem, where the account-wide switch is on and one person still cannot track time. Someone has edited that person’s profile at some point, and the edit now takes priority.

To correct one person, go to My Team, select them, open the Permissions tab, tick Mobile time entry and save. If they should also manage their timesheets from any device, tick that permission on the same screen.

Some admins prefer to work the other way round. They untick the account-wide mobile entry options first, save, then grant mobile access person by person. The same steps apply, repeated for each team member who needs it.

Location tracking has settings of its own

A clock-in can also stall when location settings are wrong. In Company Settings, select Location, then Tracking. In Required mode, the team member’s phone must have location services switched on before the app will record any time at all. In Optional mode the choice sits with the member, who can track with or without sharing their location.

The trap here is that a Required setting and a switched-off phone cancel each other out. Every other permission can be correct and hours will still not record, because the location half of the rule is missing. The two controls live on different screens, which is why the mismatch so often goes unnoticed.

Time off needs its own permission

If staff should be able to add or request time off in the app, that permission has to be granted when time off is set up. It does not come along automatically with the tracking settings. When it is missing, the symptom is absence rather than error: the time off options simply never appear in the app, and there is no message pointing to the cause.

A short order of checks for a blocked clock-in

Confirm first that you are signed in as a QuickBooks Time admin, because the relevant screens stay hidden from everyone else. Check the account-wide mobile time entry tick box. Then open the person’s profile and look for an individual override on the Permissions tab. Last, compare the location tracking mode against the location setting on the phone itself.

Those four checks cover the causes behind a blocked clock-in, and each fix happens in the QuickBooks Time web dashboard rather than on the phone. Once the right boxes are ticked, team members usually find the clock working the next time they open the app.
