QuickBooks users navigate Intuit's IDX portal for secure file transfers

How QuickBooks users send and receive files through Intuit's secure IDX portal, from PIN sign-in to restoring a returned .qbm backup.

QuickBooks Online; secure file exchange. When Intuit needs a file from you, or has a repaired file to hand back, the transfer runs through the IDX portal rather than email. The exchange is short once you know the rules, and we have pulled together the ones that decide whether it goes smoothly. Three details determine whether you get through the door at all.

The portal exists to keep files out of email

Each transfer starts from a secure web link that Intuit provides for the case. Nothing travels as an email attachment. That protects company data in transit. It also means the portal has its own sign-in, its own accepted formats, and a few behaviors worth knowing before you upload anything.

Which file formats does the portal accept?

Uploads are limited to these formats:

  • PDF: .pdf
  • Word: .doc, .docx
  • PowerPoint: .ppt, .pptx, .pot, .potx
  • Excel: .xls, .xlsx, .xlsm, .xlsb
  • Text and rich text: .txt, .rtf
  • QuickBooks Desktop data files: .QBW, .QBM, .QBA, .QBB

If you are sending a Desktop data file, make a backup first and upload the backup. A backup or portable copy is smaller and safer to move than the live file you work in every day.

Sign-in needs a case number, an email, and a PIN

You need three items before the portal will open: the case number, the email on the account needing help, and the PIN your Intuit expert gives you. Enter them, accept the Terms of Service, and select Sign In.

The portal then behaves differently depending on your browser. If you are already signed in to QuickBooks Online, it launches on its own after Sign In. If not, you sign in with the Intuit credentials tied to the account you need help with. A Desktop case calls for the credentials on that Desktop account. A forgotten user ID or password is recovered through a verified phone number or email address.

Uploading without replacing an existing file

Inside the portal you can create a folder to keep your documents organized. Uploads start from the Add documents menu. Choose Upload from this device, or Add from mobile device, then browse to the file you want.

One rule catches people out. An upload that shares a name with an existing file overwrites the original. Rename your file first, or place it in its own folder, if you need to keep both copies.

Downloading the file that comes back

When the work is finished, you return through the same secure link and sign in the same way. The portal lists the documents available, and you select one to view or download.

Look for a Readme file in the list. If it is there, download it along with your data; it holds the details you will need to open the repaired file. Save both somewhere you will remember.

Two cautions apply while your file is away. Do not keep working in the copy on your computer. Anything you enter there will be missing from the returned file, and you would have to add it again. If you run QuickBooks across a network, restore the returned file locally first, then move it to the server once it opens cleanly.

Does a .qbm file need restoring before you can use it?

Often, yes. A returned file may carry the .qbm extension. That marks a compressed copy, not a working company file, and it will not open as one on its own.

Converting it back takes a few steps in QuickBooks Desktop. From the File menu, choose Open or Restore Company. Select the option to restore a portable file, browse to the .qbm, then choose where to save the rebuilt company file. Give the restored file a clear name. Open it locally to confirm it works, and only then return it to its usual location.

The short version

None of this is difficult once the three sign-in details are in hand. The sticking points are the PIN, the same-name overwrite, and the assumption that a .qbm opens like any other file. Get those right and the exchange moves quietly in both directions.
