QuickBooks Users Catch W-2 Errors in the Payroll Preview

QuickBooks payroll users can preview W-2s before the forms are filed or mailed, and the accepted fix walks the paths that reach them.

COMMUNITY ISSUESQUICKBOOKY

Filing season brings a familiar wave of W-2 trouble to QuickBooks payroll users. A health coverage figure is missing. A retirement marker sits unchecked. An old address prints on every employee copy. We traced the accepted resolution through both payroll environments, and it is unglamorous but effective: preview the forms inside payroll before anything is filed or mailed.

Can you preview W-2s before they go out?

You can, and both of the main payroll environments offer the option. Online payroll, paired with QuickBooks Workforce, keeps the preview available at any point in the year. Desktop payroll instead ties it to year-end form preparation. Either way, the preview shows the same employee copies that eventually go out, so what you see is close to what staff will receive.

Part of the confusion is timing. Instructions written for one product send users of the other hunting through menus that do not match. The accepted answer splits the paths by product for exactly that reason.

Getting to the preview

Online, start from the Payroll area and open Payroll taxes. Choose Filings, then Resources, then W-2s. On the employee copies for the current year, pick the manage option, then view and print the forms.

Desktop users take a different route. Open the Employees menu and select Payroll Center. On the File Forms tab, choose the option for viewing and printing forms and W-2s, then enter your payroll PIN when prompted. A preview tab appears with a button that opens every employee W-2 at once.

The boxes worth a second look

The preview earns its keep on small identity fields. Confirm the EIN in Box b and the legal business name and address in Box c. Check the state account numbers in Box 15, since those feed the state copies. On the employee side, verify the Social Security number in Box a, the name in Box e, and the address in Box f. Fringe benefits in Box 14 also merit a look, because both the labels and the amounts can drift. A wrong Social Security number is the one that forces a corrected form later.

Box 12 is not one field

Community answers often flatten Box 12 into a health insurance line, and that shortcut causes its own mistakes. Box 12 is a set of lettered codes rather than a single field. The cost of employer-sponsored health coverage belongs under code DD, which is one code among several. Treating the whole box as a coverage line is a reliable way to produce a form that needs correcting.

The Workforce preview lets you set these entries directly. Open the edit action for Boxes 12 and 13 on the employee copies, enter the coded amounts, and mark the Box 13 retirement plan checkbox where it applies. Submit the changes and the preview refreshes. This is also the only preview that reports retirement contributions you track outside the software, so those figures belong here too.

Fixes that happen before the preview

A preview reflects your payroll records, so some repairs belong upstream of it. Correct an employee’s details in payroll rather than on the form itself. Edit, void, or delete problem paychecks so the wage totals recalculate. Update your legal business information whenever a name or address has changed. Each of those edits is what makes the next preview come back clean.

Wage totals that do not match the final paycheck

One confusion that shows up around the preview is a mismatch between the W-2 wage figure and an employee’s last paycheck. That gap is usually not an error. Year-end adjustments, taxable benefits, and pretax deductions all move Box 1 away from gross pay. Voided or late checks shift totals as well. Compare year-to-date figures rather than a single check before concluding the form is wrong.

The takeaway

The accepted answer amounts to a short discipline. Open the preview before anything is filed, check the identity fields first, and treat the coded boxes with care. Fix bad data at its source instead of hoping the form comes out right. A few minutes in the preview can spare you a season of corrected forms.
