QuickBooks Time Tracking: The Two-Clock Split That Trips Up Teams

Hourly teams keep asking where to clock in, switch jobs, and submit a week, so we mapped the steps across QuickBooks Online and QuickBooks Time.

COMMUNITY ISSUESQUICKBOOKY

Time tracking questions keep surfacing in the QuickBooks community, and most of them trace back to one structural quirk. The workflow is split across two products. QuickBooks Online holds a Time entries screen for admins, while QuickBooks Time runs its own clock for field work. Users who expect a single switch end up hunting for a button that lives in the other product, and a week of saved hours sometimes never reaches submission at all.

Where does the time clock actually live?

The split explains most of the confusion. In QuickBooks Online, the clock sits under the apps area: open All apps, choose Time, then open Time entries. QuickBooks Time is the separate tracking product, and its clock lives under Time Clock after you sign in there. QuickBooks Workforce is a third surface, but it belongs to employees, who can record their own hours through the Workforce mobile app.

Tiers matter here too. Teams that need time off requests, mobile time entry, or scheduling are pointed to the Premium or Elite tiers of QuickBooks Time, which carry those advanced options. Knowing which tier a company pays for often settles the question before any settings change does.

Clocking in and out from QuickBooks Online

Admins who track their own hours, or a team member’s hours, can run the whole cycle without leaving QuickBooks Online. Sign in, open All apps, choose Time, and open Time entries. Select Clock in. If the list shows jobs or customers, pick the one you are working on and confirm. If the list is empty, the clock starts without that step.

Changing tasks mid-shift is a single action. Select Switch jobs and pick the next assignment. Breaks work the same way: select Take break, choose the break type, then select Save to apply the change. When the day ends, select Clock out and the entry closes.

The clock inside QuickBooks Time

The dedicated product handles the same job from its own console. Sign in there, select Time Clock, choose a job or customer, and select Clock In. With no jobs listed, selecting Clock In alone starts the timer. To move to different work, select the new job from the list, then select Switch. Select Clock Out once the work is done.

Employees have their own route. The Workforce mobile app lets workers track time directly, which keeps the admin out of the loop for routine punches and day-to-day schedule questions.

Adding hours by hand

Not every hour gets punched in real time, and both products accept manual entries. In QuickBooks Time, search for the team member first. Open the Add time menu and choose a single time entry. If the shift has exact times, turn on the start and end time option and fill in the start date, start time, end date, and end time. Otherwise, type the total hours. Attach the customer or project, add the service item or billable flag where they apply, then save the entry.

The weekly view covers a full timesheet at once. Open the same Add time menu, choose the weekly entry, pick the team member, and use the calendar icon to set the date range. Select the customer or project, type the hours for each day, and save.

Breaks, edits, and the weekly submission

Break entry differs by product. In QuickBooks Online, go to Time entries, select Add time, then Break, and record either a duration or the start and end times. In QuickBooks Time, the Time Clock has its own Take Break control, and End Break puts the timer back on the clock.

Corrections happen where the entry lives. In QuickBooks Online, open Time entries, find the row in the list, and use Edit time in the Action column. Submission is a QuickBooks Time job: open the Submit Time tab and select Submit Week. That final step is easy to miss, because a saved entry and a submitted week are different states. Hours tracked against specific jobs or customers only become useful payroll data once the week actually goes in.

The accepted resolution to the recurring confusion is procedural rather than technical. Match the task to the product, clock in from QuickBooks Online or the QuickBooks Time console, keep manual hours in either, and close each week with Submit Week. That sequence leaves payroll starting from hours that genuinely reached the timesheet.
