QuickBooks Time-to-Online Sync Errors: What Stops the Hours From Transferring
QuickBooks Time hours sometimes fail to sync into QuickBooks Online. The sync log tells you which of several common blockers is responsible and how to clear it.

QuickBooks Time is supposed to push tracked hours into QuickBooks Online automatically, but the sync can stall for a handful of distinct reasons. When it does, the QuickBooks Time sync log is where the explanation lives — and in most cases the fix is a short mapping or settings adjustment rather than a data-repair problem.
Where to Find the Sync Log
Before chasing a fix, open the sync log itself. From QuickBooks Online, navigate to All apps, then Time, then Overview, and choose Go to classic QuickBooks Time. Once there, select the QuickBooks dropdown and click View Sync Log. Entries that contain errors display in red, which makes them easy to spot in a long list.
The log identifies the specific blocker by type. The most common are payroll mapping problems, closing-date conflicts, feature toggles that haven’t been switched on, permissions gaps, billable-time settings, unmatched employees, and authentication failures. Each has its own resolution path.
Payroll Mapping Errors
The sync log may report that a user has no payroll items assigned, which means QuickBooks Online doesn’t know how to categorize the hours coming over from QuickBooks Time. The fix runs in two parts.
First, confirm the employee’s pay types in QuickBooks Online. Go to All apps, then Payroll, then Employees. Open the employee record, select Start or Edit under Pay types, check the applicable boxes, and save.
Then switch to QuickBooks Time, open the QuickBooks dropdown, select Preferences, and choose the Payroll Item Mapping Tool. Assign the correct pay type for each employee, close the window, and run the sync again.
Closing Date Errors (Error Code 6200)
When the sync log shows error code 6200 — or a message stating that an attempt was made to modify a time-tracking entry dated on or before the company’s closing date — the issue is that QuickBooks Online is locked against changes to closed periods.
To resolve it, go to Settings (the gear icon) in QuickBooks Online, then Accounts and settings. Under the Advanced tab, find the Accounting section and adjust the closing date so it no longer blocks the dated timesheet entries. Save the change.
One additional step helps here: in QuickBooks Time, open the QuickBooks dropdown, select Preferences, and uncheck Class. Running the sync again after both changes typically clears the 6200 error.
Billable Time Not Enabled
If the sync log flags a billable-time error, the cause is usually that QuickBooks Online hasn’t been told to allow time entries to be marked billable to customers. In QuickBooks Online, go to the Time tab, select Timesheet, and turn on Allow time to be billable. Save and confirm, then retry the sync.
Missing or Unmatched Employees
A frequent blocker is an employee who exists in QuickBooks Time but hasn’t been matched to a corresponding employee record in QuickBooks Online. The sync log flags these as missing-employee errors.
From the sync log in QuickBooks Time — again under the QuickBooks dropdown, then View Sync Log — look for the Fix This button next to the error message. Selecting it opens a list of employees pulled from QuickBooks Online. Search for and select the matching employee for each unmatched entry.
If the employee genuinely doesn’t exist in QuickBooks Online yet, they need to be added there first, then matched. Alternatively, if you don’t want a particular employee’s time to sync at all, you can choose Exclude this user’s time and move on.
Authentication and Permissions Errors
Authentication errors generally point to a broken or expired connection between QuickBooks Time and QuickBooks Online. The standard resolution is to close the QuickBooks Time window, sign back into QuickBooks Online as the primary admin, return to All apps, then Time, then Overview, select Go to classic QuickBooks Time, and attempt another sync. Re-establishing the session under admin credentials is usually enough to clear the permissions or authentication flag.
The Pattern Across These Errors
What ties these sync failures together is that the data itself is rarely damaged — the hours are tracked correctly in QuickBooks Time, but something on the QuickBooks Online side is refusing to accept them. A missing pay type, a locked accounting period, a feature that hasn’t been toggled on, or an employee who hasn’t been matched: each is a configuration gap, not a corruption event.
The sync log is the diagnostic tool that tells you which gap to close. Reading the specific error message first — rather than retrying the sync blindly — is what separates a five-minute fix from a frustrating afternoon of trial and error. When the underlying company file itself is the problem rather than the sync configuration, QuickBooks data recovery may be the next step, but in the majority of Time-to-Online sync failures the resolution stays inside the settings screens described above.
